Asana licensing is the set of terms under which Asana, Inc. sells access to its cloud work management service. Asana is software as a service, sold as subscriptions. The customer buys a number of End User seats on a tier, and since September 2026 also gets metered AI usage on top of the seats.[1][3] The Help Center describes a subscription as “a base plan with its seat count, any selected add-on products, and optional recurring usage packs for Asana’s consumption-based products”.[3] Asana does not offer an on-premises version: “We are passionate about the web and do not plan to offer an internally hosted version of Asana.”[2]
Paying customers contract under the Subscriber Terms with Asana, Inc. The current version was last updated on 2026-09-01 and applies to new Order Forms and renewals effective on or after 2026-09-16. Existing customers move to it at their next renewal.[1] The access right is “non-exclusive, non-sublicensable, non-transferable” and limited to the Subscription Term and the customer’s and its affiliates’ “internal business purposes”.[1] Free users and individual users of paid plans also accept the User Terms of Service. For “Managed Users”, that is users on a paid plan, the Customer Agreement governs.[9] Catalog proof: Access right is for internal business purposes during the Subscription Term; Managed Users are governed by the Customer Agreement.
Editions
Asana’s main product is now named Agentic Work Management. It has five tiers: Personal (free), Starter, Advanced, Enterprise and Enterprise+. Asana Client Management is sold in Starter and Advanced tiers.[3]

The Subscriber Terms define an End User as “any individual who is authorized by Customer to use the Services under Customer’s account”, including employees, consultants, contractors and agents of the customer and its affiliates.[1] Guests are the main exception. “A guest is a user in an organization who does not share the organization’s email domain.”[5] The AI metrics are defined in the Product-Specific Terms and explained in Asana AI requests and AI Studio credits.
Counting / floors
Seat buckets (Help Center, retrieved 2026-10-07). The smallest subscription is two seats. After the 2-, 3-, 4- and 5-seat plans, sizes rise in steps of 5 up to 30 users, 10 up to 100, 25 up to 500 and 50 beyond that. “Asana does not offer a 1-seat plan.”[3] Catalog proof: No one-seat paid plan.
True-forward (Subscriber Terms §4.2, 2026-09-16). Asana may count End Users periodically and invoice “the excessive increments of End Users and other capacity units on a pro rata basis” for the rest of the term. The Help Center describes the self-serve version as an automatic upgrade to “the seat bucket that corresponds to the actual number of internal users”.[1][6] Catalog proof: Excess End Users are invoiced pro rata for the rest of the term; Exceeding plan size triggers charge for the matching seat bucket.
Reductions only at renewal (Subscriber Terms §4.2). Reducing paid End Users or moving to a lower plan needs written notice at least 30 days before the end of the term, and takes effect on the Renewal Date.[1] Catalog proof: Seat reductions and downgrades only at renewal with 30 days' notice.
Guests and employees (Subscriber Terms §2.4). Guests are free in organizations, teams and divisions. Customers may not let their own or their affiliates’ employees use Asana “as guests instead of acquiring End User Subscriptions for such employees”. Seats may not be shared between people, but they may be reassigned to someone who replaces a departing user.[1][3] See Asana guests, members and workspaces. View-only users (Help Center). On Enterprise and Enterprise+, admins can assign view-only licences to people who only need to see work. Such users “cannot collaborate or take any actions, such as commenting on or editing objects”.[11] Catalog proof: View only licences are limited to Enterprise and Enterprise+.
Virtualization & partitioning
Not applicable. Asana is a hosted multi-tenant service, and none of its metrics count devices, processors or virtual machines.[1] The pricing page says the service is hosted in data centres provided by Amazon Web Services.[2]
Cloud / BYOL
There is no bring-your-own-licence model, and Asana has no plans for a self-hosted edition.[2] Data residency outside the United States and Enterprise Key Management are separately ordered options governed by the Product-Specific Terms. EKM End Users must equal the Enterprise subscription’s End Users.[4] Catalog proof: Enterprise add-on End Users must match Enterprise End Users.
Programs
- Seat buckets and automatic seat upgrade. Fixed subscription sizes, and resizing when internal users exceed paid seats.[6]
- Auto-renewal. Renewal for a term equal to the prior one “at Asana’s then-current rates” unless notice is given 30 days before the Renewal Date.[1]
- Pause a member’s license. Temporarily frees a paid seat, capped at 10% of the subscription size.[12]
- Included, prepaid and on-demand usage pools. The three sources of AI Requests and AI Studio Credits.[3]
- Nonprofit discount on Starter or Advanced annual plans, and channel partner purchases through distributors, resellers and marketplaces.[2][1]
- Downgrade to Asana Personal. Takes effect at the end of the current subscription period.[13]
AI usage
From September 2026, AI Teammates and Asana Dash consume AI Requests, which are pooled across the organization. Starter and Advanced include “5 requests per user per month, up to a total of 50 shared requests per month”; Enterprise tiers allow up to 250.[7] AI Studio Smart Workflows consume AI Studio Credits, “calculated by the volume of data, including query, input, and output data, processed through the large language model”.[4] Extra AI requests cost USD 0.50 each in prepaid packs or USD 0.60 on demand.[2] AI Studio Plus and Pro are paid AI Studio subscriptions with larger credit allowances.[8] Unused AI Requests and credits expire at the end of the Subscription Term and are forfeited.[4] Catalog proof: AI Requests are pooled and expire at the end of the term; AI Studio Credits are measured by LLM data volume.
Audits and compliance
The Subscriber Terms contain no on-site audit clause. Compliance is enforced through Asana’s own counting. Asana “reserves the right to calculate the total number of End Users and other applicable subscription capacity units on a periodic basis” and bills the excess.[1] A breach of the service restrictions in §2.4, which include using guests in place of employee seats and sharing seats, allows termination with immediate effect.[1] The contract is covered in Asana Subscriber Terms.
