monday.com licensing

monday.com licensing is the set of terms under which monday.com Ltd. provides its cloud work platform. The platform is sold as four products: monday work management (called the “monday AI work platform” in current support documentation), monday CRM, monday dev and monday service.[3] Each product is a subscription priced per seat. Seats are sold in groups, which monday.com calls bucket pricing.[3] Automations, integrations and monday AI are metered separately as usage balances.[1]

One Terms of Service document covers all four products. It is accepted by clicking, registering or using the Services, and it binds the employer of anyone who signs up on the employer’s behalf.[1] The grant is “a limited, worldwide, non-exclusive, non-transferable right to access and use the Services and Sites, during the applicable Subscription Term, solely for Customer’s internal business purposes”.[1] The same section forbids making the Services available to any third party, “including, but not limited to your affiliates”.[1] Catalog proof: Access limited to internal business purposes; No sharing the Services with affiliates.

Editions

Each product is priced individually. A customer can buy one product or bundle several, with a different plan and seat count for each, as long as all products share the same billing cycle.[3] The pricing page’s structured data lists the following USD prices per seat per month on annual billing, retrieved 2026-10-03. The visible page shows prices in the visitor’s local currency.[2]

The Free plan exists only for work management. It allows two seats, three boards and 200 items, and no viewers or guests.[10] monday service has no Basic plan.[3] In an Enterprise account, every bundled product must be on the Enterprise plan, which “is available with a minimum term of 12 months”.[3] Catalog proof: Bundled products share one billing cycle; Enterprise bundles all on Enterprise with 12-month minimum.

Individual product pricing came in with the 2024 product separation. Customers who bought monday CRM or monday dev before the end of 2023 received a static discount that preserves their previous price until their first renewal in 2026. Seats or products added before that renewal are billed at individual prices.[12] Catalog: Early-adopter product separation discount. Metrics

  • Seat. A member (or Admin) on a product. The number of members that can be invited equals the seats bought.[5]
  • Seat bucket. “The pricing works per group of seats and not per seat.”[3]
  • Guest. An external user. Guests are billed four to a seat on Standard and are free on Pro and Enterprise.[4]
  • Viewer. A read-only user who does not count toward billing.[5]
  • AI credit. “the single unit of measure across all monday AI capabilities”.[7]
  • Automation and integration action and CRM contact. Monthly action quotas and CRM record limits that vary by plan.[2]

Counting / floors

Seat buckets start at three seats “and then ascend in multiples of 5”. A team of four buys five seats and a team of six buys ten. Checkout will not offer fewer seats than the number of active users.[3] The pricing FAQ adds that plans start from 3 users and that a quote is available above 40 users.[2] Catalog proof: Seats sold in buckets of 3 then multiples of 5; Plans start from 3 users; quotes above 40.

Several settings can grow the user count without anyone buying seats. Unless an admin disables them, users with the same email domain can join the account automatically and existing users can invite others. Any change in the number of Users restarts the Subscription Term for some or all Services and is billed at current rates, unless an Order Form provides for pro rata additions.[1] When users exceed the paid seats, a five-day countdown with three warning emails begins. If nothing changes, the account moves to the next seat bucket and is charged. User types decide what is billed. Viewers are unlimited and unbilled.[5] Guests must use a different email domain from the account’s organisation.[4] If internal users are assigned as guests, the Terms of Service let monday.com reassign them, “impose additional restrictions and/or charge additional fees”.[1] Catalog proof: Internal users may not be classed as guests.

Usage-based offerings

Under the Terms of Service, automations, integrations, monday AI and other consumption features are Usage Based Offerings. Each has a Usage Balance that “will expire at the end of the usage period and do not roll over”, and monday.com’s measurement of usage is final and binding.[1] Work management customers who joined on or after 2026-05-06 buy AI credits together with seats. The minimums are 1,000 credits a month on Basic, 2,000 on Standard and 3,000 on Pro.[7] The monday AI Terms state that monday AI “may be subject to additional fees” and that monday.com’s indemnities do not cover AI use.[8] See monday.com AI credits and usage-based offerings.

Virtualization & partitioning

Not applicable. monday.com is a hosted service counted per user, not per machine.

Cloud / BYOL

Not applicable. monday.com hosts the Services. External AI agents and scripts that use an account must be assigned an appropriate User type.[1] Catalog proof: AI agents must be assigned the right user type.

Programs

Audits and compliance

The Terms of Service contain no customer audit clause. monday.com measures usage itself: its measurement of Usage Based Offerings “shall be final and binding”.[1] Where it considers use excessive, such as “an excessive number of guests, excessive use of automations”, it may reprice, impose additional fees, require an Upgrade or restrict use.[1] Seat compliance is enforced in the product through the auto-upgrade.[6] For licence managers, the practical controls are user-type hygiene (viewers and true external guests), turning off domain auto-join where it is not wanted, and deactivating leavers, since deactivated users “are no longer billable”.[6] Catalog proof: monday.com usage measurement is binding; Excessive guests or automations can be repriced; Deactivated users are not billable.
