Wrike licensing

This article is an overview of how Wrike, Inc. licenses its cloud work management platform: the Free, Team, Business, Pinnacle and Apex plans, Full and Limited User licences, the AI Essentials and AI Elite tiers, and the paid add-ons. Wrike licensing is the set of terms under which Wrike, Inc. and its Affiliates sell the Wrike work management service: projects, tasks, request forms, dashboards, resource planning, automation, and a growing AI layer. Wrike is delivered only as software as a service. Its pricing FAQ states that “Wrike is entirely cloud-based”, and the Terms of Service describe the product as a “Software-as-a-Service” offering licensed for business use.[2][1] The unit of purchase is the User licence, and the Customer Account is the container.

The online Terms of Service “apply to new Orders (or renewals of existing Orders) effective on or after April 08, 2025”, so older customers may remain under an earlier version.[1] Within the Terms, a User is “an individual that is licensed by Wrike and authorized by Customer to access the Service” through a single, unshared User ID, and Users are provisioned as Full Users or Limited Users. The Customer must buy a Subscription “for each User assigned a Full User license” and may buy additional Limited User licences.[1] The rights of each licence type are defined in the Wrike Help Center rather than in the contract text.[4]

Editions

Wrike’s pricing page and help centre describe five current plans. The help article says they “are available from January 20, 2026”, and the pricing page says its prices apply to new purchases on or after January 21, 2026.[2] Legacy plans (Professional, Business, Enterprise and Legacy Team) remain documented for existing customers.[4]

Prices and user ranges are from the pricing page, and the plan list and storage limits are in the Help Center.[2][3] Business and above are sold only as annual subscriptions, and the displayed amount is “billed on an annual per-user basis”.[2] A separate AI Elite Actions Pack and a set of add-ons sit outside the plans.

Metrics

Seats are counted by licence type.

Counting / floors

  • Seat groups. “Wrike is sold in groups of users.” Subscriptions go in groups of five up to 30 seats, groups of 10 from 30 to 100 seats and groups of 25 above 100.[2] See Seats are sold in groups of 5, 10 or 25.
  • No reduction mid-term. “Any increase in the number of User licenses shall be for the remainder of the Subscription Term regardless of usage and the number of User licenses may not be reduced during the Subscription Term.”[1] See User licences can be added but not reduced during the term.
  • Reassignment, not sharing. Licences may not be shared by more than one individual but may be reassigned to a replacement User.[1]
  • Self-service limits. The pricing FAQ allows Team and Business to be bought online for up to 15 users with no add-ons, while the purchasing article allows up to 20 Business seats online; larger accounts are handled by a Wrike representative.[2][5]

Virtualization & partitioning

Not applicable: the service is hosted. Accounts are placed in the Paris data centre if created from Europe and in Santa Clara, California otherwise, and a change of data centre is requested from Wrike.[2] The commercial partition is the Customer Account: Affiliates may use it through provisioned Users, and the Customer is liable if an Affiliate fails to comply with the Agreement.[1]

Cloud / BYOL

There is no bring-your-own-licence right. The licence is a “limited, personal, non-exclusive, non-sublicensable, non-transferable worldwide license to use the Service up to the number of User licenses purchased”.[1] Customers that need control of encryption keys can add Wrike Lock, which stores a master key in AWS KMS or Microsoft Azure Key Vault, but it is not included in Apex and does not cover all Whiteboard data.[8]

Programs

Add-ons

The pricing page lists Wrike Whiteboard at USD 15 per user per month and custom-priced Wrike Integrate, Wrike Two-Way Sync, Wrike Datahub, Wrike Lock and AI Elite action packs. “They are included with an Apex subscription (except Wrike Lock and AI Elite actions pack) or can be purchased as paid add-ons to other plans.”[2] Wrike Integrate is powered by Workato.[7] See Wrike add-ons.

Audits and compliance

Unlike many SaaS contracts, Wrike’s Terms of Service contain an express audit clause: “To the extent permitted by applicable law, Customer agrees to allow Wrike to audit Customer’s compliance with the Agreement.”[1] The clause sets no notice period, frequency or remedy. The Terms also prohibit sharing licences, reselling the Service without written authorisation and uploading protected health information outside designated areas.
