Smartsheet licensing is the set of terms under which Smartsheet Inc. sells its cloud collaborative work management platform. The platform is sold in four plans: Pro, Business, Enterprise and Advanced Work Management. Premium capabilities such as Dynamic View, Data Shuttle, Control Center and Brandfolder are available as add-ons or bundled into Advanced Work Management.[3] Plans are priced per paid Member. Contributors, and on Business and Enterprise also Guests, are free.[3][4] Since 2024-06-24, Smartsheet has used a “user subscription model”. Users who need more than viewing gain full access as Provisional Members at no initial cost, and System Admins decide at periodic true-ups whether to convert them into paid Members.[7][5]
The governing contract is the Smartsheet User Agreement, last updated on 2026-04-03. It incorporates the Policies: the Limits Policy, Acceptable Use Policy, Support Policy and Travel and Expense Policy.[1] Help Center articles count as Documentation under the Agreement, and access is subject to the restrictions in the Order, the Documentation and the Policies published at the start of the Term.[1]

Source: Seat types article.[4] Under the earlier legacy collaborator model, the paid unit was the licensed user, “a paid user (internal or external) with full access to create, edit, and manage Smartsheet items”. Unlicensed collaborators were free.[4] At contract level the Limits Policy uses a generic Unit, “a unit of access to or use of a Service”. An Assigned Unit is a Unit assigned to a User through a login credential or other unique identifier.[2]
Counting / floors
One person per login (User Agreement s.1.2, 2026-04-03). The customer may not use “technology, processes, or other means to provide access to and use of Smartsheet Properties to more than one individual under a set of User login credentials”.[1] Catalog proof: One individual per set of login credentials.
Seat reassignment (Limits Policy s.2(b), 2024-06-24). An Assigned Unit may be moved to another User only when there is no overlapping use. That is allowed temporarily for a leave of absence, or persistently to replace a User who changes role or leaves.[2] Catalog proof: Assigned Units may be reassigned only for leave or replacement.
Provisional membership and true-up. A user becomes a Provisional Member when their sharing permission lets them take an action their seat type does not allow, and they take it.[5] Review periods are quarterly for annual plans and monthly for monthly plans. By default, unreviewed Provisional Members are downgraded to a free seat type at the end of the billing cycle. Plan floors and caps. Pro is sold for 1 to 10 Members, Business for 3 or more and Enterprise for 10 or more.[3] Catalog proof: Pro is capped at 10 Members and Business needs at least 3.
Renewal ratchet (User Agreement s.10.1). Unless an Order says otherwise or either party gives 30 days’ notice of non-renewal, “the total number of units purchased, provisioned, or otherwise used during the Term” renews automatically for one-year terms.[1] As commentary: Members added at a mid-term true-up become part of the next year’s baseline. Catalog proof: Renewal carries forward all units purchased, provisioned or used.
Virtualization & partitioning
Not applicable. Smartsheet’s Online Services are hosted, and its seat types count individual users identified by email domain and login, not devices or processors.[4] Downloadable Smartsheet software governed by its own end-user licence agreement is outside the User Agreement.[1]
Cloud / BYOL
There is no bring-your-own-licence path. Customers buy separate regional or government services, such as Smartsheet Gov, from Smartsheet. Smartsheet Gov customers who buy through an authorized sales representative remain on the legacy collaborator model.[3] Catalog proof: Smartsheet Gov sales-channel customers stay on the legacy collaborator model.
Programs
- Smartsheet user model. Effective for new plans from 2024-06-24. Existing annual plans moved at their next renewal after 2025-01-01, and monthly plans began moving on 2025-02-01.[7][6]
- Legacy collaborator model. Licensed versus unlicensed users. On migration, licensed users automatically become Members.[6]
- Reconciliation period and true-up. The periodic review of Provisional Members.[5]
- Customer Loyalty Benefit. A renewal benefit, announced on 2025-06-25, for customers whose Member count rose sharply on transition.[8]
- Free trial and Free Services. The pricing page offers 30 days free with no credit card. Free Services come without warranty or availability commitments.[3][1]
Audits and compliance
The Limits Policy gives Smartsheet a standing assessment right. “At any time”, Smartsheet may assess use against the limits of the customer’s plan and purchases, and the customer must provide reasonable assistance and the information Smartsheet requires.[2] After a written notice, the customer has 30 days to adjust its use. If it does not, Smartsheet may invoice the additional capacity at standard Unit rate pricing. Unauthorized use discovered after a Term has ended may be invoiced in arrears, pro rata.[2] Catalog proof: Smartsheet may assess use at any time and the customer must assist; Thirty days to cure, then invoicing at standard Unit rates; Unauthorized use found after the Term is billed in arrears.
