Wrike user licences

This article is about Wrike's Full User and Limited User licence types: Account Owner, Admin, Regular User, External User, Contributor, Collaborator and Viewer, which of them consume paid seats, and how the legacy Collaborator allowance works. Wrike user licences are the licence types that determine how many paid seats a Wrike account needs. The Terms of Service define a User as “an individual that is licensed by Wrike and authorized by Customer to access the Service” through “a single, unshared User ID and password combination”, and say that Users “may be provisioned licenses by Customer as Full Users or Limited Users, the rights and privileges of which are defined at” the Wrike Help Center page on licence types.[2] The Customer “shall purchase Subscription(s) to the Service for each User assigned a Full User license and may purchase additional Limited User licenses”.[2]

Editions

User licence types are available on all current plans, with qualifications. Contributor licences are available on Business, Pinnacle and Apex only, and Wrike’s help article says they are “only available for accounts created on or after January 20, 2025”.[4] The Viewer article carries the same restriction note for accounts created on or after January 20, 2025, and says limited-use Viewer licences “are available by default for new customers”, with existing customers asked to contact their customer success representative.[5] The Collaborator licence is being discontinued: “Starting January 20, 2025, new accounts will no longer have access to this limited license.”[6]

The pricing FAQ summarises it: “Limited users require a paid user seat at a reduced rate to that of a full user license (as contributors) or may be provisioned into the workspace for free (as viewers).”[3] On Pinnacle accounts the Account Owner and Admins can create new User types and adjust existing ones, so naming in an account may differ, and a user type created from a free or lite licence counts toward the total of that licence type.[1][11]

Metrics

Full User license

“Full Users (Account Owner, Admin, Regular User, External User) have more default permissions enabled and are able to do more in Wrike. Full Users require a paid User seat. The number of Admins (including the Account Owner), Regular, and External Users you can have depends on how many Full User license seats you signed up for and purchase.”[1] The Account Owner is the person who first registered or was first provisioned from the organisation; there can only be one per account, the Account Owner’s decisions bind the account, and the Account Owner controls billing, invoices, subscription information and add-ons.[1] See A Full User licence is required for each Full User and One Account Owner per account.

External User

External Users are “provisioned into your account using an email domain external to the domain associated with your account and organization”. They have rights like a Regular User but cannot share tasks, folders or projects, and by default are not in the My Team group.[1] The licence consequence is that an outside contractor with a different email domain is a paid Full User, not a free guest. Contributor license

Contributors can view and change items shared with them, update statuses and due dates, comment, attach files, approve tasks and track time on their own items.[4] “The Contributor is a paid license. There are no free seats. Overdraft is allowed by default. This means that you can add Contributors over the limit and pay later.”[4] Overdraft is a true-up risk to monitor, because it is permitted by default. See Contributors are paid with no free seats.

Collaborator license

Collaborators “don’t take up paid user seats”, but the free quantity is limited: “20 collaborator invites or 15% of your license count (whichever is greater) with no additional charge”.[6] The Types of Licenses article states it as “the greater of twenty (20) Collaborators or 15% of the number of Full User licenses under your paid subscription; additional Collaborator User licenses may be purchased for an additional fee.”[1] For an account with 200 Full Users the free Collaborator allowance is therefore 30. Viewer license

Viewers “have the ability to view and comment on work within Wrike” and “may be internal or external to your organization”.[1] The Viewer article says: “Viewer license is free & unlimited for all plans*”, and the asterisk reserves Wrike’s right to limit the number of viewers “to maintain optimal operation of the Wrike service.”[5] Viewers cannot change status, assign users, change dates, add sub-items or attachments, see dependencies, use Chart view or Dashboards, create approvals, see Analytics reports or open the API settings page.[5] See Viewers are free and unlimited, subject to Wrike’s right to limit.

Counting / floors

The rights matrix shows how the types differ in practice.[7] Only Regular Users and Admins can invite new team members, share tasks, folders and projects, and create or manage spaces. External Users, Contributors and Regular Users can track time and add attachments. Collaborators can add attachments and comment but cannot track time; Viewers can comment and not attach files. A licence manager should therefore compare real activity with the licence type, because any person who needs to share, create or invite requires a Full User seat.

Counting rules that matter:

  • Single, unshared User ID. “Allow User licenses to be shared or used by more than one individual” is prohibited, except that a licence can be reassigned to a new User replacing an individual who no longer uses the Service.[2] See User licences cannot be shared but can be reassigned.
  • Upgrade requests. A limited user can request an upgrade; admins can approve it, and approval changes the user type, for example from Collaborator to Regular User, which turns a free seat into a paid one.[9] Only account owners can turn the feature off.
  • Add-on counts follow Full Users. The monthly task limit for Wrike Integrate “is based on the number of Wrike full user licenses you’ve purchased. Collaborator, Contributor, and Viewer licenses don’t count toward this limit.”[8] The AI Elite allowance is also per Full User licence.
  • Affiliates. Users of Affiliates can be provisioned into the Customer Account, with the Customer liable for their compliance.[2]

Virtualization & partitioning

Not applicable: Wrike is hosted and has no virtualization rules. Licence counts are per Customer Account, and the page for each user type explains that Pinnacle and Apex accounts can customise permissions of certain licence types, which changes what a user can do but not the seat category assigned in the contract.[1]

Cloud / BYOL

There is no BYOL. The Wrike Whiteboard add-on introduces a second licence dimension: Whiteboards need “A Wrike Whiteboard add-on (trial or paid)”, a Klaxoon Enterprise add-on, or a separate paid Klaxoon subscription with the integration enabled by support, and the Types of Licenses article lists Klaxoon Full Access (Pro) and Limited Access (Free) users separately.[10][1] See Whiteboards need the add-on or a Klaxoon subscription.

Programs

No program is specific to user licences. The Free plan and the Student Program allow unlimited users on the Free plan but give no access to paid features. The Seat groups program governs how Full User seats are bought in blocks.

Audits and compliance

The Terms of Service allow Wrike to audit compliance, and the licence types are the objects an audit would count.[2] An internal check should compare: Full User seats purchased and Full Users provisioned (including External Users on outside domains); Contributors added under the default overdraft; Collaborators against the allowance; Viewers added at scale, given Wrike’s reserved right to limit them; and licences reassigned between people.
