Wrike plans, seats and billing

This article is about how Wrike's Free, Team, Business, Pinnacle and Apex plans are bought, sized and billed: seat groups, online purchase limits, annual terms, renewals, proration, downgrades and refunds. For user licence types see Wrike user licences; for add-ons see Wrike add-ons.

Wrike plans, seats and billing covers the commercial mechanics of a Wrike Subscription. A Wrike customer buys a Subscription to the Service for each Full User, in seat groups that grow with account size. The Subscription runs for a Subscription Term that renews automatically, and Wrike’s online Terms say fees are billed “at the beginning and upon renewal of its Subscription, plus any applicable Taxes”.[2]

Editions

The Help Center lists five plans and describes them by audience: Free for individuals or teams with basic tools, Team for smaller teams, Business for teams that want advanced functionality, Pinnacle for the most advanced work management and security features, and Apex for teams seeking a unified platform with AI, visual collaboration and integrations.[3]

User ranges and prices are from the pricing page and storage from the plan table.[1][3] The Free plan is limited to one shared space and 200 active tasks including subtasks.[7] The Team and Business plans described here were introduced on October 15, 2024 and are compared in a help article with a Legacy Team plan that allowed 2 to 25 seats. The comparison table shows Team allowing one shared space plus a personal space and Business allowing unlimited shared spaces.[5] The Team plan carries a single shared dashboard, while Business allows unlimited dashboards.[6]

Pinnacle has been available since July 1, 2021, and Apex is “available for accounts created on or after January 20, 2026”.[11][12] Moving down a plan does not delete data: “we don’t alter your data; we simply adjust permissions to restrict access to certain features”, and the data returns on upgrade.[5]

Metrics

The billing metric is the Full User license. Wrike’s Terms require a Subscription for each User with a Full User licence, and Full Users include the Account Owner, Admins, Regular Users and External Users.[2][10] The Contributor, Collaborator and Viewer licences have separate pricing treatment and are covered in Wrike user licences. Two plan ceilings are also metrics: Storage per user and the Active task limit (Free) of 200.[7]

Counting / floors

Seat groups and purchase routes

“Wrike is sold in groups of users.” Subscriptions are sold in groups of five for accounts up to 30 seats, in groups of 10 for 30 to 100 seats and in groups of 25 above 100 seats. “Wrike Business plans and above are only available as annual subscriptions.”[1] After a trial, the owner can buy Team and Business “for up to 15 users with no add-ons” in the Account section, while a larger number of users or a wider set of capabilities needs a Wrike representative.[1] The purchasing article gives a different figure: “Account owners can purchase Business accounts with up to 20 seats online.”[4] Pinnacle and Apex are purchased through sales. No reduction during the term

The Terms allow additions but not subtractions: “Customer may increase its number of User licenses for the applicable Subscription during the Subscription Term. Any increase in the number of User licenses shall be for the remainder of the Subscription Term regardless of usage and the number of User licenses may not be reduced during the Subscription Term.”[2] An annual customer therefore carries its peak seat count to renewal. The purchasing article adds that “to downgrade your account or reduce the number of seats, you’ll need to contact your Renewals Manager or Account Manager”.[4] See User licences can be added but not reduced during the term and Downgrades and seat reductions go through the account team.

Self-downgrade

A narrow self-service path exists. The self-downgrade from Business to Team is available only if the account has a yearly subscription, has no more than 15 paid seats, has no add-ons or extra services, and has a renewable contract. Reducing the number of seats this way “is not allowed”, and the change takes effect on the next renewal date.[4] See Self-downgrade is limited to qualifying Business accounts.

Virtualization & partitioning

Not applicable to a hosted service. The Customer Account is the unit: the Account Owner controls billing, invoices, subscription information and add-ons, and there can be only one Account Owner per account.[10] A person who owns several Wrike accounts must be in the correct account when buying.[4] Account Owners can also activate Free Trial Services and buy Subscriptions and Add-Ons from inside the account, and the Terms treat the Account Owner as having the legal authority to bind the Customer to those “In-Service Activations”.[2]

Cloud / BYOL

There is no BYOL. Currency and tax rules matter for budgeting. “All our prices are listed in US dollars, but your bank will be able to convert this to your local currency upon purchase”, the invoice is in US dollars, and prices exclude state and local taxes that the client must pay.[1] The Terms add that credit card, foreign currency and wire transfer payments carry fees that are the Customer’s responsibility and can be recovered by Wrike within sixty days.[2] See Payment, currency and bank fees fall on the Customer.

Programs

Renewal, proration and refunds

“The Subscription will automatically renew for successive Subscription Terms at Wrike’s then-current rates unless Customer provides written notice of its intent not to renew”. The customer must cancel before renewal to avoid the next Subscription Term’s Fees.[2] When a customer upgrades or buys Add-Ons, Wrike prorates the amount “based on the number of days remaining in Customer’s billing cycle”, using the service level in place immediately before the change.[2] A downgrade “may cause the loss of Customer Data or Add-ons”, and “all purchases are final”: Wrike does not refund or credit partial or unused periods, downgrades, removed add-ons or paid features that were not used, except where law requires.[2] See Subscriptions renew automatically at then-current rates, Upgrades and add-ons are prorated to the billing cycle and No refunds or credits for unused periods, downgrades or removed add-ons.

Price changes

Wrike “may, in its sole discretion, offer a grace period during which Customer’s Fees will not increase”. A customer that does not accept an increase “may elect to terminate its Subscription during the then-current billing period” and is not liable for the increase after that period, but a later renewal may be at the higher fees.[2] The Terms set no cap on the size of an increase. Trials, Free and Students

New customers can take a free 14-day trial without a credit card.[1] If the account is not changed after the trial it is blocked, data is preserved, and the owner can buy a subscription, delete the account or switch to the Free plan.[8] The Terms treat Free Trial Services as outside the Service and without warranty or support.[2] Students can use the Free plan and invite an unlimited number of other students.[9] See Free trial and Student Program.

Support and services

The pricing FAQ describes Professional Services as a deployment add-on, recommends that all new teams work with a consultant during onboarding and insists that teams of 20 or more use a guided deployment.[1] See Support and consulting.

Out of scope

This article does not cover AI allowances (see Wrike AI Elite actions and Copilot), the add-ons priced separately, Wrike’s reseller channels, or the Legacy Professional, Business and Enterprise price books for customers who bought before 2024. Where the pricing page and help articles disagree, as with the self-service purchase limit of 15 users versus 20 Business seats, both statements are cited rather than reconciled.
