Spiceworks licensing covers the terms under which Spiceworks, Inc., a Ziff Davis company, provides its IT management tools to IT professionals. These tools are Spiceworks Cloud Help Desk, Inventory online, Connectivity Dashboard, Vendor Contracts and Remote Support. There is no separate end-user licence agreement for them. They are governed by the Ziff Davis, LLC Terms of Use, which list Spiceworks, the Spiceworks Community and Spiceworks Ziff Davis (SWZD) among the covered sites and contain a section for Spiceworks services.[1] Under that section, the Service is available for personal use, internal business use, and customer support by managed service providers and value-added resellers. Other commercial use requires a separate written agreement.[1] Most of the tools cost nothing. Spiceworks says it keeps them free because technology vendors reach its users through “targeted, relevant advertising and content”.[6] The one paid product is the Cloud Help Desk Premium Plan. Editions
Spiceworks lists five IT tools on its tools page: Help Desk, Connectivity Dashboard, Remote Support, Inventory and Vendor Contracts.[7] Only Cloud Help Desk has editions, which Spiceworks calls plans.[3]

Each offering has a catalog SKU, for example Cloud Help Desk Premium Plan - annual and Inventory online. Spiceworks publishes no part numbers. Two on-premises products have been retired and are recorded as SKUs for identification only: Spiceworks Desktop 7.5, which reached end of life at the end of 2021,[10] and Help Desk Server, which reached end of life by September 2022.[11] Plan details are covered in Spiceworks Cloud Help Desk plans and seats.

Only the employee seat is priced. The Spiceworks ID and Consenting User rows record the identity and scope units the Terms use. Inventory online, Connectivity Dashboard and Vendor Contracts are not metered by device, agent or contract in any retrieved document.
Counting / floors
Core cap and Premium trigger (as retrieved 2026-09-27). The Core Plan allows up to 5 employee users. Once an account reaches 6 or more active users, it must upgrade to the Premium Plan.[4] Catalog proof: Core Plan limited to five employee seats.
All seats are charged on Premium. The Premium fee applies to all active employee users, starting with the first. An account with 8 active employee users pays for 8 seats, not 3.[4] The product page says the same: pricing is not based on seats beyond the free limit, nor on the number of help desk end users.[3] Catalog proof: Premium fee applies to all active employee seats; Only employee roles are charged; end users are free.
Enforcement by restriction. An account that has six or more active employee seats without upgrading loses most of its function. Owners and admins can open only the Billing and Employee Administration pages. Tech and Manager users lose access, end users can no longer submit tickets, and the support email address stops working.[4] Catalog proof: Service restricted when six or more seats are not upgraded.
Mid-term changes. Seats added during a billing cycle are charged pro rata to the end of the cycle. The charge is waived if another employee was deactivated in the same cycle. Virtualization & partitioning
Spiceworks tools are hosted services and are not priced by processor, core, host or virtual machine. The retrieved documents contain no partitioning or virtualization rule. The Inventory online and Connectivity Dashboard agent is installed on each device to be tracked.[9] The same agent collects installed software name, vendor, version and install date.[14] Installing the Desktop or Tools is licensed on equipment the licensee, or its Consenting Users, owns or controls.[1] For the cross-vendor background, see virtualization and partitioning.
Cloud / BYOL
Every current Spiceworks tool is cloud-hosted by Spiceworks, so bring-your-own-licence rules do not apply. Spiceworks states that it stores data within the United States, in datacenters in Austin, Texas and Northern Virginia, and may use major cloud hosting providers for particular services.[13] Catalog proof: Tool data stored in the United States. No self-hosted edition is offered after the retirement of Desktop 7.5 and Help Desk Server.[11]
Programs
- Advertising-supported free tools. Spiceworks has funded its tools through advertising since its first free IT management app. It says it monetised that app “by connecting IT pros to tech brands through advertising”.[12] The Privacy Policy allows interest-based advertising, subject to privacy choices, and sharing with other Ziff Davis companies for targeted advertising.[5] See Spiceworks Terms of Use and advertising model.
- Cloud Help Desk Premium Plan. A paid, ad-free subscription billed monthly or annually per employee seat.[4]
- MSP and VAR customer support use. Managed service providers and value-added resellers may use the Service to support their customers without a separate agreement.[1]
- Annual manual invoice billing. The annual Premium Plan can be paid against an invoice with 30-day payment terms, by ACH, wire transfer or check.[4]
- Education support for instructors. Instructors who teach using Spiceworks can apply through a form. The published FAQ does not state the terms.[4]
Contract terms
Permitted and commercial use (as retrieved 2026-09-27). The Spiceworks section of the Terms permits personal use, internal business use, and commercial customer support by MSPs and VARs. Selling, distributing or providing access to the Service for payment requires a separate written agreement or Spiceworks’ prior written permission.[1] Catalog proof: Permitted use: personal, internal business, or MSP/VAR customer support; Other commercial use requires a separate written agreement.
Desktop and Tools licence. Downloadable components are “licensed, not sold”. The grant is personal, limited, revocable, non-exclusive and non-transferable, and it excludes use with payment card data, protected health information, Social Security numbers and similar “Prohibited Data”.[1] Separately, Spiceworks will not sign a HIPAA business associate agreement for Cloud Help Desk.[4] Catalog proof: Desktop and Tools licence scope; Prohibited Data excluded from the Desktop and Tools licence; Cloud Help Desk not for HIPAA data; no BAA.
Accounts. A username and password is personal and may not be used to give anyone else access.[1] Each help desk employee and each tool admin therefore signs in with their own Spiceworks account. Inventory online allows one inventory per account and gives every invited admin full access.[9] Catalog proof: Spiceworks ID is personal and may not be shared; One Inventory online dashboard per Spiceworks account.
Change and discontinuation. Ziff Davis may change, suspend or discontinue any aspect of the Services at any time without notice or liability.[1] For paid Premium Services, fee and billing changes take effect thirty days after they are posted online.[1] Catalog proof: Services may be changed or discontinued without notice; Fee changes effective 30 days after posting.
Audits and compliance
None of the retrieved Spiceworks or Ziff Davis documents gives Spiceworks a right to audit customer records. Compliance for Cloud Help Desk is enforced in the product: an account that exceeds five employee seats on the Core Plan is restricted until it upgrades.[4] The free tools have no quantity limit to audit. For them, the questions a software asset manager has to answer are about use rights: whether the use is personal, internal business or MSP/VAR customer support, and whether any Prohibited Data is involved.[1] Retired on-premises installations of Desktop 7.5 and Help Desk Server no longer receive support or security fixes.[10][11] Their continued presence is a lifecycle finding rather than a licence shortfall. Out of scope
- Spiceworks Community membership, forums, SpiceWorld events, newsletters and research content. The same Terms cover them, but they are not licensed software.
- Spiceworks’ advertising and lead-generation services sold to technology vendors (SWZD), which use separate commercial agreements that were not retrievable.
- Zoho Assist features beyond the free Spiceworks Remote Support integration, which Zoho licenses under its own terms.
- Signed agreements for commercial use outside the Terms, and any negotiated Premium quotes.
- Third-party products advertised or reviewed on Spiceworks sites.
