Dashlane seats, billing, renewal and offboarding

This article is about how seats on a Dashlane professional plan are bought, assigned, billed, renewed, removed and released, not about the features of each plan. Contract terms and plan features are in related articles. It is not legal advice.

On a Dashlane professional plan the seat is the billing and licensing unit. The Help Center describes the Account Summary page of the Admin Console as the place that shows the number of seats bought and the type of plan, and the Business Terms define the underlying unit as an authorized User named in the Order.[3][12] The seat rules below apply mainly to Omnix Password Management and, for the Password Management part, to Omnix Enterprise. Credential Protection is billed according to the number of employees in the organization, with a custom price from Sales.[10]

Editions

How seats are bought depends on the plan.[1]

Dashlane no longer sells Starter, Team or Standard plans; existing plans can be kept and renewed, or switched to Omnix Password Management or Omnix Enterprise.[1]

Metrics

A seat is occupied by an invited or added member. The Users tab of the Admin Console shows the members, their roles, their status (active, pending invitation, removed) and their last activity, and a list of members can be exported to CSV.[7] The roles are Member, Admin and, for Password Management or Credential Protection, Group Manager. Dashlane places no limit on the number of any of these roles and recommends at least two admins.[7] The Help Center articles retrieved do not describe a separate licence or price for admins or Group Managers.

Counting and floors

Minimum. An Omnix Password Management plan bought on the website without a trial requires at least 2 seats. A plan bought after a trial has a seat count that starts at the number of members invited, and it cannot be lower than that number.[11]

Adding seats. An admin adds seats from the Account Summary page by selecting Add seats and the number wanted; the total yearly cost is shown before purchase. Purchasing seats and updating billing information are unavailable in Firefox, where the admin is redirected to the website.[1] When all seats are assigned, an admin can still invite members and is automatically charged for the additional seat.[1] Seats added mid-term are billed at a prorated cost, and Dashlane bills in proportion to the days remaining before the next renewal.[2][3]

Renewal at full count. All seats on the plan, occupied or not, renew on the next renewal date.[2] The Common billing questions article puts it as: your plan renews at the full seat count, so empty seats are billed.[3] On the renewal date Dashlane renews the account with the current number of seats and bills for the renewal; it processes renewals a day or two early so that a payment problem does not let the subscription lapse.[4]

Removing seats. Seats are not reduced in the Admin Console. An admin contacts Support at least 30 days before the renewal date, and Starter and Standard plans cannot remove seats at all; to add or remove seats an admin on those plans has to upgrade to Password Management.[2] For a licence manager this makes the renewal calendar the control: a seat count that is not adjusted 30 days before renewal is billed in full for the next period.

Renewal cycle. The Starter plan renews monthly. All other professional plans renew annually. The renewal date matches the date of the first purchase (for Starter, the date the account was created), and if a Starter, Standard or Team plan is upgraded to Password Management, the renewal date changes to the date of the upgrade.[3] The Business Terms add the contractual layer: a one-year initial term, automatic one-year renewals, written notice of non-renewal at least 30 days before expiry, and 45 days notice from Dashlane of any fee change for a Renewal Term.[12]

Assigning and re-allocating. Under the Business Terms the Client may re-allocate licences from one User to another through the Services provided the total number of Users stays within the Order; each User needs an individual account.[12] Inviting is done in the Admin Console. Up to 100 members can be invited manually at one time, individually or with a CSV or TXT file, invitations expire after 30 days, and the non-expiring invite link in the Admin Console can be sent to members who have been added to the plan.[6] A person can belong to only one professional plan, and an error appears when an admin adds someone who is already a member of another.[6]

Virtualization and partitioning

Dashlane documents no device or environment partitioning for seats. The related structure is the organization: one Admin Console governs one plan, and members cannot be in two plans. For parent organizations with subsidiaries, a beta Multi-organization Management feature gives an admin of one organization read-only access to the seat usage, user status and password health of connected organizations after another organization’s admin shares a Command Line Interface key; the multi-organization view does not appear in the Credential Protection insights dashboard.[14] Customers with Active Directory sync need to switch to SCIM provisioning before December 2026, because Dashlane will stop supporting AD Sync in that month; otherwise user provisioning and deprovisioning must be done by hand.[13]

Cloud and entitlement mechanics

Payment, invoices and taxes

A plan can be paid for by credit card or by invoice.[10] When an admin upgrades and chooses invoice, the admin is guided to Support to request a purchase order, and this manual process takes 2 to 4 business days.[2] Under the Business Terms, fees not paid at online checkout are due 30 days after the invoice is received, fees are non-refundable except where the Terms say otherwise, and Dashlane may suspend access if overdue fees stay unpaid ten calendar days after a notice.[12] One person is named billing contact. Invoices are downloaded from the Account Summary page, and invoices cannot be downloaded unless the organization has a name set.[2]

Taxes are listed on the invoice, and prices on dashlane.com do not include sales tax, VAT or GST. A customer in the EU or UK can enter a VAT number in the Account Summary page to have a reverse charge applied, and a United States organization that is exempt from sales tax must make sure the Dashlane account name matches the organization’s name and provide a signed exemption certificate and state-issued tax ID number through Support.[2]

Upgrade, downgrade and cancellation

A plan can be upgraded in the middle of a billing period, and saved data is kept. Downgrades are requested through Support, and the Compare article says to contact the Customer Success Manager for downgrade and cancellation options.[2][10] Professional plan cancellation requests must be made at least 30 days before the renewal date; requests made inside that window are not accepted. Cancellation is requested from Account summary in the Admin Console, and the Support team then contacts the admin by email to finalize it.[2]

Missed payment, grace period and limited state

A professional plan whose payment fails enters a 30-day grace period with full access. Dashlane tries to charge a credit card two days before the renewal date, and a failed charge starts the grace period. After grace the plan enters a limited state. Admins can still read all logins and data but cannot add data or manage settings or policies, and members cannot log in at all. Their data and policies are preserved until payment, and paying restores the plan. Support can extend grace by a few days or stop auto-renewal if the customer no longer wants the plan.[5]

Offboarding and releasing a seat

Removing a member is the documented way to release a seat for reuse. The offboarding article recommends removing a former employee as soon as they leave, which revokes access to work-related logins and frees the licence for a new plan member.[8] Preparation matters, because an admin cannot recover logins that were not shared. A leaving member must share work logins with the Full access permission level before removal, otherwise the admin cannot reach those logins or the account afterwards. If a member was removed fewer than 30 days ago, the admin can re-add them to regain access to work-related logins.[8] On plans that have Spaces, the “Revoke access to company items for removed users” setting should be on before removal so the member cannot export work logins.[8]

What a removed member keeps depends on how they log in. A member who uses SSO loses access to the account immediately. A member who uses a Master Password and still has work email or device access keeps the account, converted to a personal Premium plan for 40 days, and must buy a paid plan or export data within that time; after 40 days passwords can no longer be viewed, added, edited or copied.[9] A removed member’s name appears greyed out in the Users tab and can be reactivated, which means a former member can still be reactivated into a seat.[8]
