TOPdesk SaaS plans are the three packaged editions, Essential, Engaged and Excellent, in which TOPdesk sells its hosted service management software. Each plan is priced per agent per month. TOPdesk defines an agent as anyone who can open and adjust tickets in TOPdesk.[1] Prices depend on the number of agents: the more agents are added, the lower the average price.[1] The subscription includes software, hosting, updates and support. Charges beyond the plan price arise only when data use exceeds the Fair Use Policy, or for services such as implementation by a consultant.[1] The page is the only public TOPdesk price list retrieved. It covers SaaS only, for 5 to 50 agents, in pounds sterling, euros, US dollars and Canadian dollars.[1]
Editions
| Plan | TOPdesk description | Adds (vendor list) |
|---|---|---|
| Essential | “For service teams who want to ditch the inboxes and finally feel in control of their work”[1] | Incident Management, Asset Management, unlimited assets, tickets and end users, Self-Service Portal, Knowledge Base, Dashboard & Reporting[1] |
| Engaged | Marked “Most popular”[1] | Change Management, Contract and SLA Management, Operations Management, Problem Management, AI Incident Categorization, AI Knowledge Item Generation, AI Search[1] |
| Excellent | For organisations using service management as a strategic advantage[1] | Project Management, Webshop, Annual Health Check, Benchmark Reporting, AI Writing, Answer and Translation Assistants, AI Incident Summarization, TOPdesk Robin (AI assistant), AI Triage[1] |
Each plan contains everything in the plan below it.[1] All three plans include unlimited tickets, unlimited teams and unlimited light agents with view rights.[1] Local support is listed as 8/5 for Essential and Engaged and 24/5 for Excellent.[1]
Add-ons
The comparison table lists these items as add-ons in every plan: room, service and asset reservations, Reservation Management, visitor registration and parking reservation.[1] Live chat and the Ebbot virtual support agent are excluded from Essential and offered as add-ons for Engaged and Excellent. The Annual health check is an add-on for Essential and Engaged and is included in Excellent.[1] TOPdesk also sells features and consultancy days on top of a plan, “from Reservations Management to consultancy days”.[1] No add-on prices are published.
Metrics
| Metric | Catalog row | Use in the plans |
|---|---|---|
| Agent | Agent | The price unit. Someone who can open and adjust a ticket.[1] |
| Light agent | Light agent (view rights) | Unlimited in all plans. Users who only view dashboards are free.[1] |
| Storage block | Storage block (25 GB) | Storage above the fair use limit.[2] |
In the product documentation, the agent corresponds to an operator with at least one paid permission.[5] The mapping is explained in TOPdesk operator and caller licensing.

Graduated price bands
The price calculator reads a table of three bands per currency: agents 1 to 10, 11 to 25 and 26 to 50. For each plan, it charges each band’s rate for the agents that fall in that band, then shows the average per agent.[1] The page opens at 30 agents in pounds sterling.[1] Band rates retrieved 2026-09-27, per agent per month:[1]
| Plan | Band | EUR | GBP | USD | CAD |
|---|---|---|---|---|---|
| Essential | 1 to 10 | 72 | 60.00 | 76.00 | 101.00 |
| Essential | 11 to 25 | 57 | 46.96 | 59.48 | 78.56 |
| Essential | 26 to 50 | 47 | 39.13 | 49.57 | 65.87 |
| Engaged | 1 to 10 | 103 | 86.00 | 109.00 | 145.00 |
| Engaged | 11 to 25 | 81 | 66.89 | 84.78 | 112.78 |
| Engaged | 26 to 50 | 67 | 55.60 | 70.46 | 93.74 |
| Excellent | 1 to 10 | 145 | 122.00 | 155.00 | 205.00 |
| Excellent | 11 to 25 | 113 | 94.99 | 120.68 | 159.44 |
| Excellent | 26 to 50 | 87 | 73.20 | 93.00 | 123.15 |
The EUR rates are recorded as catalog SKUs, for example Essential plan, agents 1-10 (EUR), Engaged plan, agents 11-25 (EUR) and Excellent plan, agents 26-50 (EUR). Each SKU row also lists the GBP, USD and CAD rates. Catalog proof: Per-agent prices are graduated in bands of 1-10, 11-25 and 26-50 agents.
Worked example (commentary). For 30 agents on Essential in pounds sterling, the calculator adds 10 agents at £60.00, 15 at £46.96 and 5 at £39.13, a total of £1,500.05 a month. That is £50.00 per agent, which the page rounds up and shows as £51.[1] The same 30 agents cost €1,810 a month on Essential, €2,580 on Engaged and €3,580 on Excellent at the EUR rates above. The calculator does not weight all agents at the lowest band. A 30-agent estate therefore pays the first-band rate for its first ten agents.
Floors and caps
The agent field accepts 5 to 50 agents. Its tooltips say TOPdesk recommends at least 5 agents, and that customers with more than 50 agents should contact TOPdesk.[1] For 50 or more agents, the FAQ suggests getting in touch to discuss specific needs.[1] No contractual minimum appears in the retrieved terms. Catalog proof: Public pricing covers 5 to 50 agents.
Plan changes
A plan can be upgraded at any time during the contract. A downgrade is possible only at the end of the current contract term.[1] Under the 2021 General Terms, discounts apply only to the initial contract period and not to renewals. Periodic prices may be indexed once a year.[3] Catalog proof: Plans can be upgraded any time and downgraded only at term end; Discounts apply only to the initial contract period; Prices may be indexed once a year to the CBS index.
Storage and fair use
The pricing page lists 100GB of free storage in every plan, with a storage size that adapts to the number of agents and a 2GB limit per file upload.[1] The Fair Use Policy, which the 2021 General Terms make part of the SaaS agreement, governs storage, data traffic and e-mail volume.[2][3] Its storage table is set by the contract’s callers and operators:[2]
| Callers | Operators | Storage limit (GB) |
|---|---|---|
| Up to and including 2,500 | 50 | 25 |
| 2,501 to 5,000 | 75 | 50 |
| 5,001 to 10,000 | 125 | 100 |
| 10,001 to 25,000 | 275 | 250 |
| 25,001 to 50,000 | 525 | 500 |
The policy table and the pricing page give different storage figures. The policy is undated. Which of the two a given contract uses depends on that contract. If an organisation structurally stores more than its limit, TOPdesk contacts it. Storage can be expanded in blocks of 25 GB at €25 per block per month, and storage over 500 GB is arranged individually.[2] The storage block is recorded as the SKU Extra SaaS storage block 25 GB. Bandwidth and the number of e-mails sent are monitored against the average of customers with similar contracts. They may be limited after TOPdesk has contacted the customer.[2] Catalog proof: Storage above the fair use limit is sold in 25 GB blocks; SaaS storage limits are set by caller and operator bands.
Virtualization & partitioning
Not applicable. The plans are hosted by TOPdesk and priced per agent.
Cloud / BYOL
The plans are TOPdesk’s own cloud service. No bring-your-own-license applies. Under Security & compliance, the pricing page lists worldwide data centres, SOC 2 compliance, ISAE 3000, single sign-on and GDPR compliance. For each plan it gives a recovery time objective of 1 hour and a recovery point objective of at most 1 hour.[1] Updates are free. The pricing FAQ describes them as a bi-weekly release.[1] The SaaS Information page, last updated 2025-12-17, says environments are updated to the latest version every week, with the test environment first.[4] Catalog proof: The SaaS subscription includes software, hosting, updates and support; SaaS environments are updated weekly.
