Rubrik licenses its data security and backup software as term subscriptions to the Rubrik Service, which covers Rubrik Security Cloud (RSC) and the products built on it. The commercial terms sit in three layers. The Rubrik Service Agreement grants the right to use the service.[2] The Rubrik Licensing Guide supplements that agreement with general terms and product specific terms, effective as of 2026-07-23.[1] The Order placed through a Reseller sets the quantities.[2]
The metric depends on what is protected. Data centre and cloud workloads are measured in terabytes: back-end terabytes (BETB) after data reduction, or front-end terabytes (FETB) before it.[1] SaaS applications, identity directories and source code repositories are licensed per user or per repository. The Microsoft 365 and Google Workspace services combine a user count with a cap on protected data.[1] Rubrik does not publish a price list. Customers buy from an authorised Reseller, and a cloud marketplace counts as the Reseller for marketplace orders.[2]

Rubrik Security Cloud is packaged in editions. The Compare Plans table on Rubrik’s Enterprise Edition page lists eight capabilities across Foundation, Business and Enterprise Editions:[7]

Enterprise Proactive Edition includes all of Enterprise Edition plus data security posture features that show where sensitive data is stored and who has access to it.[6] To provide the user access analysis, Proactive Edition extracts user access data, such as user names, email addresses and group memberships, from the customer’s Active Directory backup.[1]
Rubrik describes Enterprise Edition as a three-year subscription that includes software and support, with new software features during the plan.[7] The 2024 data sheet says Rubrik subscription licences include software, hardware of the customer’s choice and support, and can be paid in fixed yearly instalments.[8] Edition bundles include cloud workload protection only for workloads migrating from on-premises to the public cloud. The Licensing Guide defines BETB as “the final volume of data protected after compression, deduplication, replication, or other data operations, regardless of the storage target”, and FETB as the initial volume of primary data submitted to Rubrik before those operations.[1] One purchased terabyte gives one terabyte on one platform (RSC, Edge or Universal Cloud License), not one terabyte on each.[1] Catalog: One purchased TB is usable on one platform only.
Counting / floors
Where a product combines a user count and a capacity, both are limits. The Licensing Guide’s example for Microsoft 365: a customer with 1,000 Users and 5,000 GB of Data Protection Capacity is out of compliance if it exceeds either number.[1] Per-user SaaS products must be licensed for the entire licensed user base, and a user counts as managed while a restore point from the past 31 days exists.[1] Rubrik counts Data Protection Capacity to include relics, data churn and Exchange archive mailboxes, so its capacity reports may show more than Microsoft’s own reports.[1] For capacity products, actual usage is compared continuously with the Capacity Entitlement in the Order. Rubrik Cloud Vault does not store data beyond the entitlement.[1] The counting rules for each SaaS product are in Rubrik SaaS, identity and DevOps protection licensing.
Rubrik publishes no general minimum purchase. The thresholds it does publish are tied to specific offers. The Ransomware Recovery Warranty requires at least 250 TB of the Enterprise Edition specific SKU.[5] Free trials of hosted services have caps, for example 500 Users and 10 TB for Microsoft 365.[1]
Virtualization & partitioning
Rubrik’s metrics measure protected data, users or repositories, not the processors or hosts in the protected environment. A licence count therefore does not change with hypervisor topology. It changes with the amount of data under protection and, for BETB, with how well that data compresses and deduplicates. Under the Scale programs, licences can move between Rubrik-branded appliances, third-party hardware and public cloud during the Subscription Period without buying new licences, within the licensed capacity.[1] Catalog: Scale licences are portable and convert 1 BETB to 1 FETB.
Appliances and software
Rubrik sells software subscriptions. It does not sell hardware itself. Rubrik licenses its brand to third-party manufacturers who make and sell Rubrik-branded hardware. The Hardware Support Policy states that Rubrik does not own, manufacture, sell, lease, license, supply, indemnify, warrant or support Hardware.[4] The manufacturer warrants the hardware for one year from shipment. Rubrik supports the hardware, and helps with warranty claims, only if the customer buys a post-sale Support Services Plan for it.[4] Under Scale, Rubrik-branded hardware must be bought upfront, and e1000 appliances cannot be bought under any Scale model.[1] Catalog: Rubrik-branded hardware is made and warranted by third-party manufacturers; Rubrik-branded hardware is bought upfront under Scale.
Cloud / BYOL
Rubrik offers several cloud models. Rubrik Cloud Vault (RCV) is a Rubrik-managed storage service on Azure, AWS or GCP. It is an add-on that needs a Rubrik Security Cloud subscription and is priced per back-end terabyte by storage tier and redundancy.[1] The Universal Cloud License protects cloud workloads on an FETB model, either hosted by the customer or by Rubrik on RCV.[1] Rubrik Managed Cloud Protection is licensed on FETB and BETB together.[1] For Rubrik-hosted subscriptions, customers may not use the service to create a secondary backup copy, such as frequent exports to a location outside the service.[1] See Rubrik Cloud Vault and cloud protection licensing.
Programs
Scale. Rubrik Scale has two models, Scale Subscription and Scale True Forward. Both are three-year subscriptions with an option to extend to five years. On-premises workloads are measured in BETB and cloud workloads in FETB by default.[1] Scale True Forward adds semi-annual Scale Reviews in which capacity used above the purchase is quoted at the 75th percentile of daily peak usage.[1]
RSC Utility. A consumption model for Business and Enterprise Editions with a Reserve Capacity commitment and On-Demand Capacity billed from a monthly Billing Report. The initial term is at least 36 months.[1]
Ransomware Recovery Warranty. For at least 250 TB of the Enterprise Edition specific SKU with a concurrent Customer Resilience Manager subscription, Rubrik reimburses recovery expenses after a failed recovery from a ransomware incident, up to a cap of USD 250,000 to USD 10,000,000 depending on the amount of Protected Data.[5]
Support Services Plans. The Premium plan includes 24x7 remote support. The Basic plan responds Monday to Friday, 8:00am to 8:00pm local time. The L3 plan is delivered through a Rubrik Authorized Support Partner.[3] A Support Services Plan may be included in the subscription fee.[3] Add-ons such as a Customer Resilience Manager (CRM) or U.S. Citizen Support Services cost extra. A CRM is required for all Scale True Forward Orders.[1]
Free Trials. The Service Agreement allows trials only for internal, non-commercial evaluation for 30 days, unless Rubrik sets another period in writing.[2]

Contract terms
Grant. Rubrik grants a limited, non-exclusive, non-transferable, revocable right to use the Rubrik Service for the Subscription Period, solely for internal business purposes and within the quantities in the Order.[2] Affiliates may use the service within the same quantities, and the customer is responsible for their compliance.[2] Customers may not use the service for the benefit of third parties, including timesharing or service bureau use, or host it as a service for an unaffiliated third party without Rubrik’s written agreement.[2] Service providers who manage the service for a customer must be authorised by Rubrik and sign a Partner Agreement.[1]
Orders. Orders are non-cancellable and non-refundable, except as the Agreement provides.[2] Customers can upgrade to a higher offering at any time, but cannot downgrade to a lower offering or quantity until renewal.[1] Rubrik is not responsible for sizing: any Rubrik sizing analysis is an estimate based on information the customer supplies.[1]
Dependent add-ons. Some products run only as add-ons to a prerequisite Rubrik product. The customer needs the most current version of that product with active support. If the prerequisite is not renewed, the add-on may lose functionality without a refund.[1]
Expiry. If the customer does not renew on or before the renewal date, the right to use the service ends and the service stops operating.[2] The customer must uninstall Rubrik software components. On written request, Rubrik allows limited access for 30 days to retrieve Customer Data, after which the instance and its data are permanently deleted.[2] Rubrik may offer a Recovery License, which must be bought within 30 days of expiry, to recover data backed up in the customer’s data centres. Recovery Licenses exclude support and are not available for hosted offerings.[1] Catalog: The Rubrik Service stops operating if not renewed; Recovery Licenses must be bought within 30 days of expiry.
EU Data Act. Customers based in the EU may terminate a Rubrik Service on 60 days’ written notice and export their Rubrik-hosted backup data as required by the EU Data Act. They pay an early termination fee equal to the fees for the rest of the Subscription Period, plus any third-party cloud egress fees.[1]
Support continuity. All Rubrik software in a customer’s environment must be on the same Support Services Plan level and the same version.[3] After a lapse, Rubrik may allow renewal at its discretion, back-dated to the end of the prior term. A plan cannot be bought once 12 months have passed since the previous plan expired.[3]
Audits and compliance
During the Term and for one year after, Rubrik or independent auditors may audit the customer’s relevant systems and records on reasonable notice. Rubrik may conduct no more than one audit in any 12-month period, during business hours.[2] If an audit finds use that the Agreement does not permit, the customer must promptly reimburse the Reseller or Rubrik for the unpaid fees.[2] The Agreement does not set a threshold for audit costs. Catalog: Rubrik may audit once a year during the Term and one year after.
In practice, much of Rubrik’s compliance runs through the product. Usage is compared continuously with the Capacity Entitlement for cloud products. Under Scale True Forward, Rubrik reviews usage logs every six months, and the RSC Utility model invoices usage above the Reserve Capacity each month.[1] For the general discipline, see software license audit and license compliance.
