Zapier licensing is the set of plans and terms under which Zapier, Inc. sells access to its cloud automation platform. The platform covers Zap workflows, Tables, Forms, Zapier MCP and the Zapier SDK, with Zapier Agents and Zapier Chatbots sold as separate add-ons.[1] There is no software to install apart from optional SDK components, so the customer is not granted a licence to run a copy of the product. Instead, Zapier “will make the Service available during the applicable Subscription Term, solely for your own internal business purposes and in accordance with the Documentation”.[2] Catalog proof: Service is for internal business purposes only.
Price is driven mainly by consumption. Each plan includes a monthly allowance of tasks, and a task is “any successful action that runs in Zapier”.[4] The number of users is a second dimension. Free and Professional are individual plans, Team allows up to 25 users and Enterprise allows unlimited users.[6][1] Tables, Forms and Zapier MCP were folded into the Free, Pro and Team plans as part of the September 2025 plan updates, and are no longer bought separately.[20]
Editions
Zapier publishes four platform plans. The pricing page shows prices with yearly billing selected by default. Monthly billing costs more, because annual prepayment carries a 33% discount.[1][11]

A task tier is chosen on top of the plan. The pricing page offers tiers from 100 tasks per month to 2 million tasks per month, or a custom task limit. The “starting from” prices are for the lowest tier of each plan, and the cost per task falls as the tier rises.[1]
The plan line-up changed on 2024-04-02. The Enterprise plan replaced the Company plan, and existing Starter plan users were upgraded to Professional, which became the lowest-cost paid plan.[8] Catalog proof: Enterprise replaced the Company plan and Professional replaced Starter. Accounts on older plans may lack newer features. For example, a Team account without SSO “might be on a legacy plan”.[7]
Add-ons are sold separately from the platform plans. Zapier Agents is sold in Agents Free, Agents Pro and Agents Enterprise plans, and Zapier Chatbots in Free, Pro, Advanced and Custom plans.[1] “Add-ons are separate subscriptions for Zapier products like Zapier Chatbot and Zapier Agents”, and they can be bought without a paid Zapier plan.[16] They are covered in Zapier Agents, Chatbots, Tables, Forms and MCP limits.

The task is the unit that matters most for cost. Triggers never use tasks, and Zapier does not charge for polling.[4] Several products convert their own activity into tasks at fixed rates. In Zapier MCP, “Each successful tool call uses two tasks from your plan’s allowance”.[15] A Lead Router lead counts as 5 tasks, and AI by Zapier and Code by Zapier steps can use several tasks per run.[4] Tasks are pooled at account level. The pricing page states that Zap workflows, AI steps, code, MCP and SDK “all draw from the same task allocation, with no separate task budgets by product”.[1] Zapier Agents is the exception: its activities form a separate quota, and “Using activities does not affect your Zapier task usage”.[14]
Counting / floors
Task tier and overage (Help Center, 2026-08-15). When an account reaches its plan task limit, pay-per-task billing takes over for the rest of the period. The rate is higher than the base subscription rate, and total usage is capped at 3 times the plan task limit.[5][1] Without pay-per-task billing, new Zap runs are held until the cycle resets.[4] The mechanics are covered in Zapier tasks and pay-per-task billing. User limits (product update, 2026-01-28). The Team plan has a 25-user limit. Existing Team accounts with more users could keep them until their next renewal date. At that point they had to remove users or move to Enterprise.[7] “Free and Pro plans are individual plans and allow one user only.”[6] Catalog proof: Team plan is limited to 25 users; Free and Professional plans are single-user.
Free plan (Help Center, 2026-08-21). The Free plan has 100 tasks per month for Zap workflows and MCP, 2,500 table records, 10 form pages and a single user.[9] Catalog proof: Free plan includes 100 tasks per month.
Plan changes (Help Center, 2026-08-05). Upgrades take effect immediately and are prorated per day. “Your account’s billing date and number of tasks will reset when you upgrade.” Downgrades take effect at the end of the billing cycle.[13] Catalog proof: Upgrades are immediate, prorated and reset the billing date; Downgrades take effect at the end of the billing cycle.
Virtualization & partitioning
Not applicable. Zapier is a hosted service counted by successful actions, users and stored content, not by servers, processors or virtual machines. The nearest equivalent to partitioning is the Enterprise organization and workspace structure. Billing is managed for the whole organization, and optional task limits can be set for each workspace.[17] If the workspace limits add up to more than the organization’s plan limit, the organization is charged for the overage.[17] Catalog proof: Workspace limits above the plan limit create overage.
Cloud / BYOL
Zapier operates the Service from a cloud service located in the United States.[2] There is no bring-your-own-licence path for the platform itself. The closest equivalent is bring-your-own-key for AI models. AI by Zapier steps that use the customer’s own AI account are charged at the lowest task multiplier, 1x.[22] Enterprise also lists “Bring Your Own Model” among its admin controls.[1] Premium apps need a paid Zapier plan, and some also need a paid plan with the app’s own vendor.[23] Use of a third-party service “is subject to the terms applicable to such Third-Party Service”, not to the Zapier contract.[2]
Programs
- Annual billing discount. Prepaying for a year gives 33% off the monthly price.[11]
- Non-profit discount. Verified non-profits get 15% off any paid plan, excluding pay-per-task charges.[11]
- Zapier free trial. New accounts get a 14-day Pro trial with a 1,000-task limit and no pay-per-task billing. A Team trial can auto-upgrade if a card was added.[10]
- Zapier Enterprise Agreement. This applies to customers who sign an Order Form that references it.[3]
- Zapier add-ons and organization and workspace task limits. These are separate add-on subscriptions and per-workspace allocations.[16][17]
Payment terms are strict. “Once a charge is processed, it is considered final and will not be refunded.”[12] The contracts are covered in Zapier Terms of Service and Enterprise Agreement.
Users, roles and usage reporting
Multi-user accounts have one Owner. Team and Enterprise accounts can also have Admins and Members, and only Enterprise has the Super admin role.[18] Zapier names the billing page as the authoritative usage figure: it “captures total task usage across all products and access methods”.[19] Team and Enterprise admins can export a CSV of tasks, Zaps and app connections for each member, but the export covers only the current billing cycle.[21] Anyone who needs a history across billing cycles must keep these exports themselves. Restrictions relevant to service providers
Agencies and consultants should note that customers may not “grant non-users access to the Service or use the Service to provide a hosted or managed service to others”.[2] The same restriction appears in the Enterprise Agreement.[3] Catalog proof: No resale, hosted service or access for non-users.
Out of scope
- Signed Order Forms, negotiated Enterprise pricing and Technical Account Manager thresholds, which are not public.
- Embedded and partner offerings (“Powered by Zapier”, the Integration Partner Program) and Zapier’s developer platform terms.
- Licences for the third-party apps that Zaps connect to.
- Prices in currencies other than USD, and exact pay-per-task rates, which Zapier shows in each account’s billing settings.[5]
