RingCentral Events is a platform for virtual, hybrid and onsite events and webinars that, per its terms, can be used with or without other RingCentral products.[1] It is licensed separately from RingEX, per organizer. Alongside it, RingCentral sells RingCentral Webinar for large meetings and RingCentral Rooms for conference rooms, and RingEX meetings come with user types that control who needs a licence. This article covers the licence units and the billing terms that affect cost.
Editions
Events is sold in three paid packages and a trial. The pricing page shows each package at a per-organizer monthly price with a second, higher figure beside it, and advertises savings of up to 16% for paying annually.[2]
| Package | Public price signal (per organizer per month) | Adds over the previous package |
|---|---|---|
| Free trial | 30 days free, 10 organizers, up to 1,000 registrations | None[2] |
| Events Pro | USD 99 (USD 119 beside it) | Unlimited webinars and events, unlimited registrations, virtual venue, ticketing, analytics, production studio, standard support[2] |
| Events Pro+ | USD 199 (USD 239) | Content Composer, 40+ apps, 5+ MarTech integrations, onsite and hybrid events, single sign-on[2] |
| Events Enterprise | USD 299 (USD 359) | AI captions translation, APIs, content hubs, custom domains, lead retrieval[2] |
The catalog records them as RingCentral Events Pro, RingCentral Events Pro Plus and RingCentral Events Enterprise. The older comparison matrix describes a standalone Events option with a maximum of 100,000 attendees and a Webinar option with a maximum of 10,000 attendees, both purchasable separately from any RingEX tier.[4] Because the matrix is undated and the pricing page now advertises unlimited registrations on Events Pro, the matrix figures should be treated as legacy.
On the RingEX plans page, RingCentral Webinar starts at USD 30 per organizer per month, with a 500-attendee licence included for RingEX Ultra and Customer Engagement Bundle users. A footnote says the discount applies to Webinar 500 for one year with a one-year commitment and then reverts to USD 75 per host per month or the then current retail price.[3] RingCentral Rooms starts at USD 39 per room per month, and Push to Talk is USD 5 per user per month.[3] See RingCentral Webinar, RingCentral Rooms and RingCentral Push to Talk.
Metrics
Organizer and Admin Seat
The Events terms define an Admin as an employee or other person authorised to access and use the account, including event moderators, hosts or managers. An Admin Seat is a licensed seat required for each Admin to access the Platform under the Subscription Plan, and seats may have different access levels.[1] The pricing page quotes price per organizer, so the Admin Seat is the contract term for the same unit.[2] An Attendee, by contrast, includes admins, organizers, viewers, guests, speakers and sponsors, while the terms define a licensed seat only for Admins.[1] Additional Admin Seats and premium support are “Additions” that are not in the Subscription Plan and are billed as Additions Fees.[1] See Events organizer and Admin Seat and Events requires a licensed Admin Seat for each Admin.
Rooms
RingCentral Rooms is priced per room per month from USD 39.[3] The comparison matrix lists Rooms as an add-on for every RingEX tier, along with a Rooms Connector for third-party SIP hardware and Rooms appliances that can be rented as a device-as-a-service.[4] See RingCentral Rooms room licence.
Video Pro and Mobile users
Meetings can include users without a full RingEX licence. Video Pro users are free and have limited video and chat but cannot make or receive direct calls; Video Pro+ users have a meeting licence with chat and video; Mobile users are free with chat and video. Free users that make or receive more than 10 calls in a billing cycle cause an additional-user charge.[5] See Free user extension (Video Pro and Mobile) and the RingEX article.
Counting and floors
Events terms contain several billing mechanisms that a licence manager should track.
- Downgrades and failed payment. Under the current terms a paid account is downgraded to a free trial if the payment method fails and is not cured within 7 days, and Event Content may be lost 30 days after the event end date.[1] See Events downgrades to a free trial if payment fails for 7 days.
- Legacy downgrades. Under the Legacy terms a downgrade or reduction of Additions takes effect only at the end of the current Term with no refund, and excess Admins must be removed before the Renewal Term.[1]
- Legacy attendee overage. If an event exceeds the allotted attendees, RingCentral may upgrade the plan for the rest of the Term and charge Upgrade Fees due within 14 days of invoice.[1] See Legacy Events attendee overages can trigger a plan upgrade.
- Paid tickets. A customer who sells tickets through the integrated payment service pays a payment platform fee to the provider and a Ticket Commission to RingCentral based on a percentage of sales, separate from the subscription fee.[1] See Events charges a Ticket Commission on paid tickets and Events paid-ticket commission and attendee overage.
- Trials. Trials and betas are for internal evaluation for the period on the Sales Order, or 30 days if none is designated, or until a paid plan is purchased.[1]
The customer is responsible for attendee relations, including consents, ticket pricing, refunds, promotions and sales taxes on ticket sales.[1]
Terms and use rights
Events customers must comply with the Acceptable Use Policy, but the provisions relating solely to RingEX and the 30-day cancellation period in the policy do not apply to Events.[1][6] Event Content remains available for export for 30 calendar days after termination or expiry; afterwards RingCentral may delete it unless law prohibits.[1] The terms also give a limited, non-transferable, revocable API licence for integrations with approved third-party services.[1] Third-party products enabled by the customer are governed solely by their own terms, and enabling them permits RingCentral to disclose Event Content and account data as needed.[1]
Events support is not the 24/7 Customer Care described in the Online Terms. Customers have live support during standard business hours and ticket submission at any time.[1]
Out of scope
This article does not cover event production agency fees, which the comparison matrix lists as additional cost, or the Events service level agreement, which the terms say is published separately.[4][1]
Compliance checklist
- Count named organizers and admins against paid Admin Seats and remove excess seats before renewal.
- Record which terms (current or Legacy) govern each Events Order.
- Reconcile Ticket Commission invoices with ticketed events.
- Check Webinar licence size against attendee peaks and note the one-year promotional price expiry.
- Count Rooms and any rented Rooms appliances.
