Dropbox licensing

This article is an overview of how Dropbox licenses its cloud storage plans for individuals and teams and its related products (Dropbox Sign, DocSend, Replay, Dash). It is not legal advice and does not replace the Order Form or the Dropbox Services Agreement.

Dropbox licensing covers the subscriptions under which Dropbox, Inc. and Dropbox International Unlimited Company provide Dropbox cloud storage and its related products. Dropbox sells plans for individuals (Basic, Plus, Essentials and others) and plans for teams (Standard, Business, Advanced, Business Plus, Enterprise and Education). Team plans are licensed per End User License: “Each End User Account requires a paid End User License, and End User Accounts may not be shared by multiple individuals.”[1] Storage on team plans is pooled across the team and grows with each actively-used licence.[5] Dropbox Sign (electronic signatures) is licensed per sender, DocSend (document sharing and data rooms) per user, and Replay and several security and governance features are sold as add-ons.[8][9]

Customers in Canada, Mexico and the United States contract with Dropbox, Inc.; customers elsewhere contract with Dropbox International Unlimited Company.[1]

Sources: the plans page, the licence and storage help article and the plan help articles.[4][5][7][11] The help centre documents two parallel families of team plans, Standard and Advanced, and Business and Business Plus, which differ in storage per licence and in bundled features; the Service-Specific Terms place the “Send and track” analytics of Business and Business Plus under the DocSend terms and their “Signatures” under the Dropbox Sign terms.[3] The deeper article Dropbox team plans, licenses and storage compares them.

Dropbox publishes prices by country. When retrieved for this article from a European location, the plans page showed Plus at EUR 9.99 per month and Standard and Advanced at EUR 12 and EUR 18 per user per month, with Enterprise priced on request.[4]

  • Dropbox Sign is sold as a standalone product (Essentials, Standard and Premium plans and API plans) and is built into some Dropbox team plans.[8]
  • DocSend is sold in Personal, Standard, Advanced and Advanced Data Rooms plans.[9]
  • Replay (video and media review), Dash (search across connected tools) and Protect are covered by the Service-Specific Terms.[3]

Metrics

  • End User License: the unit for team plans and DocSend, defined in the Dropbox Services Agreement as “a user license purchased by Customer which enables Customer to provision an End User Account”.[1]
  • Actively-used license: used only to calculate storage; it “refers to a unique team member who regularly logs in and uses Dropbox”.[5]
  • Team storage space: the pooled storage limit of a team.
  • Sender for Dropbox Sign, and Signature Request for the Dropbox Sign API.[8][3]
  • DocSend user: per-user DocSend plans, or a bundle of 3 users on Advanced plans.[9]

Counting / floors

Every member of a team counts against the licence total, including pending invites and suspended members, and inactive licences are not removed automatically (rule).[5] Under the Dropbox Services Agreement accounts suspended by the customer still need a paid licence; only deleting an account frees its licence for reallocation (rule).[1] Licences can be added at any time and are prorated to the end of the term, but reductions take effect only at renewal (rule).[1][5]

The minimums are 3 licences on Business, Business Plus, Advanced and Standard Classic; Standard, as sold from 2026-06-30, has “No minimum user requirements”.[7] Education requires 300 or more licences.[11]

Virtualization & partitioning

Not applicable. Dropbox licenses people, not devices: plans “connect unlimited devices”, and End User Accounts may be used only by a single End User.[4][1]

Cloud / BYOL

Dropbox is a hosted service; there is no bring-your-own-licence model. The Dropbox Services Agreement allows Dropbox and its subcontractors to store and process Customer Data in locations outside the customer’s country.[1] Customers who buy through a reseller pay the reseller, and a reseller designated as administrator may control the account.[1]

Programs

  • Terms. Team customers are bound by the Dropbox Services Agreement, the Service-Specific Terms, Order Forms and the data processing agreement; every user, including team members, is also bound by the Terms of Service and the Acceptable Use Policy.[2][12] A revised Dropbox Services Agreement takes effect on 2027-01-01, and new Terms of Service on the same date.[6][2] See Dropbox Services Agreement and terms.
  • Dropbox Education is for licensed and accredited higher education institutions buying 300 or more licences, with discounts by licence count.[11]
  • Monthly licenses on yearly team plans is a closed beta that bills extra seats monthly on an annual plan.[13]
  • Refunds. In most cases payments for subscriptions and team member licences are not refundable; residents of the EU, UK and Turkey may cancel individual plans within 14 days for a refund, and a bank chargeback on a team subscription places the team in locked state (rule).[10]

Out of scope

Consumer plans (Family, Professional, Essentials, Backup, Transfer) are mentioned only for context. Reclaim.ai, which Dropbox lists among its products, is not covered.[4]
