Egnyte storage, Access Limit and Archive Domains

This article is about how Egnyte meters storage, content access, file sizes, API calls, archive storage and hybrid caching for licensing. It is not about user types, which are covered in a separate article, or about backup and recovery add-ons.

Egnyte storage and access limits are the consumption side of an Egnyte subscription. User counts decide the base fee, but storage in use, how much content users open or download, and the size of files and API traffic can each trigger overage charges or restrictions. Egnyte’s Terms of Service name storage, User access and features together as the things whose expansion is billed as overconsumption.[1]

Editions

Storage allocation varies by plan and contract. The Help Desk says Egnyte Office and Business plans have a default online storage limit of 5TB and 10TB, while Egnyte Enterprise plans are provisioned with allocations specified in customer contracts.[2] Trial domains are limited to 20GB of total storage.[3] Egnyte’s public pricing page does not publish a storage price; the Product-Specific Special Terms refer to the storage “purchased”, which signals that capacity is quantified on the Order Form.[4]

File-level limits are published by plan. A single uploaded file may be up to 100GB on the Team and Business plans and 150GB on Enterprise Lite and Enterprise, and the Specialized File Handler add-on raises the limit to 250GB.[3][5] Archive Domains are not subject to the plan’s file size limit.[4]

Metrics

Plan storage

Plan storage is the allocation of online storage. The Help Desk states that the total includes all shared and private files and folders for all administrators and power users, files in the trash and file versions.[2] A customer that thinks it has 8TB of live documents may therefore be consuming much more once versions and trash are included. Administrators can use the Retention Policy to automate emptying the trash and limiting the number of versions, and the Help Desk lists clearing the trash, removing old versions and deleting outdated folders as ways to bring storage below the limit.[2]

Egnyte sends a monthly usage report to all active admins of a domain, excluding trials, if the domain has at least 100 active users or at least 40% of subscribed users are active.[2] Smaller or less active domains would not receive it, so a customer should not rely on that email as its only signal.

Access Limit

The Access Limit is set in the Product-Specific Special Terms for the Egnyte Platform. Egnyte “targets” a Content access limit of up to 100% of the total monthly storage purchased during any month of the Subscription Term, and usage above it is a restricted use under the use restrictions of the Terms of Service that may bring overage fees.[4] The terms list the access methods that count: Web UI, shared file and folder links, Desktop App, Desktop Sync, WebEdit, WebDAV, Mobile App, Storage Sync, Turbo, FTP/SFTP, the Microsoft Office Add-In and the Salesforce Integration, and say the list is not exhaustive.[4]

The wording makes this a soft allowance. It is a target for provisioning, and the consequence is described as possible overage fees. A team that runs heavy sync or download workloads against a small storage allocation should compare its audit and usage reports with the allowance. Egnyte may additionally limit network egress, bandwidth, token consumption or API calls under its then-current plan limits.[4]

Download and sharing limits

Several limits restrict how much data leaves the platform. Customers on Team plans have a shared-link download quota of 5GB per hour or 30GB per month, and Office and Business plans have 5GB per hour or 60GB per month.[3] Folder or multi-file downloads, which create a zip, are limited to 10,000 files and 10GB. The maximum number of files, and of sub-folders, directly inside a folder is 50,000 each. Upload links allow 500 files per session and 25GB per file or the plan limit if smaller, with a total upload quota per link lifetime of 10% or less of the plan limit.[3] These are operational limits that a plan upgrade or an Egnyte representative may change; they are not separately priced in public documents.

Public API call quota

By default eligible plans have 2 API calls per second, 1,000 per day and 30,000 per month. Higher limits up to a maximum can be requested: Business 1,000 and 30,000, Enterprise Lite and Elite 2,000 and 60,000, and Enterprise and Ultimate 4,000 and 120,000 per day and month. The Public API is not available on Trial, Team and legacy Connect plans.[6] Egnyte can only approve API keys for domain admins with an active account under the same email address, and recommends a Service Account for API use, which consumes a user licence.[6][7]

Smart Cache hybrid licence

Smart Cache is Egnyte’s local caching device. The Help Desk says it requires a hybrid licence, listed on the Plan Details page as “Smart Cache or Storage Sync”, and customers whose plan lacks it should contact the sales team or account manager.[8] A single device supports up to 300 users. Smart Cache keeps accessed and new data for a minimum of 14 days and supports up to 7 days of offline access for Desktop App users, and Egnyte recommends provisioning double the estimated disk size needed for data users access and create over 90 days.[8] Egnyte does not recommend Smart Cache as a migration tool.[8] Because Smart Cache connects with an application account, the account behind it can also count as a Service Account.[7]

Counting / floors

For storage, the floor is the purchased allocation and the ceiling is the contract’s overage rule. Expanding consumption is paid for the rest of the Subscription Term and sets a new high-water mark, so a temporary spike can reset the commitment for the remainder of the term.[1] The pricing for extra consumption is whatever the Order Form states for additional services, otherwise Egnyte’s list pricing at the time.[1] Customer-supplied storage changes the equation: where the customer brings its own bucket, the Terms of Service make it solely responsible for that storage’s availability, durability, security and cost, and acknowledge that its costs can be affected by how Egnyte’s services interact with it.[1]

Virtualization & partitioning

Storage can be partitioned by domain. Archive and GxP domains sit outside the active domain. The Product-Specific Special Terms describe the Archive Domain as accessed by customers whose plan has Retention, Archive and Deletion (RAD) functionality enabled; storage is allocated automatically after purchase, and the Archive Domain is not to be used as an active domain but only to house low-use files.[4] Up to 5 unique Admin Users may access it.[4]

The Help Desk gives the technical specifications: Admin or Power Users only, five users, Egnyte-allocated storage only with customer-allocated external buckets unsupported, no permissions, access through the Web UI, Public API and migration only, no integrations, unlimited versions and file size, and metadata but not content search.[9] Governance classification cannot be enabled on an archive domain. An Archive Domain can be purchased with RAD and with the Business, Enterprise Lite and Enterprise platform plans.[9]

The 5% Download Limit

Accessing content in the Archive Domain, including downloads, preview and migration of data already there, is capped at 5% of the total storage in use on the last day of each month. If users together exceed the Download Limit in a month, Egnyte may increase the fee for that month, based on non-archive storage pricing and rounded up to each TB above the limit, and may bill after discovery with effect from the date of the overage.[4] Uploading from the active domain and removing data on termination of the archive service do not count.[4] A customer that treats the archive as a working store, for example by restoring large sets for reviews, can therefore pay more than expected.

Cloud / BYOL

Egnyte’s Public Cloud Connector lets administrators choose where new content is stored. For an account created in the US region, a specific geolocation can be Canada or Australia, and for an EU account it can be the United Kingdom, Switzerland, Singapore or Finland. Administrators can instead point Egnyte at their own Azure or AWS S3 bucket, or select Egnyte-managed Azure storage in Canada or Australia for US accounts, and the United Kingdom or Switzerland for EU accounts.[10] Previously uploaded content stays in the originally configured storage tenant, and customers cannot migrate it to the new location.[10] If every option is disabled, the plan must be upgraded.[10]

Programs

The relevant programmes are the overconsumption true-up in the Terms of Service,[1] the Archive Domain programme described above, and trial limits: trial users are limited to 1GB of FTP upload and 20GB of total storage, lifted on subscription.[3] Egnyte Generative AI is configured by the customer and cannot be opted out of entirely.[11]

Out of scope

Prices per TB, overage rates and storage reservations are not public and are not covered. Backup of Content remains the customer’s responsibility: the Terms of Service say that while Egnyte’s storage providers use methods to help ensure availability and redundancy, the customer must maintain appropriate backup copies of its Content.[1]
