Calendly’s team features are not separately licensed products. They are capabilities of the Standard, Teams and Enterprise plans, and each host who takes part needs a paid seat. This article records which plan unlocks which capability, according to Calendly’s Help Center and pricing page, so that a plan downgrade or an upgrade request can be checked against what the organization actually uses.
Multi-host event types
Calendly distinguishes three multi-person formats.[1]
| Event type | What it does | Plans |
|---|---|---|
| Round Robin | Rotates meetings among several hosts by availability, evenly or by priority | Teams and Enterprise[1] |
| Collective | Shows only times when all selected hosts are free; everyone joins the booking | Standard, Teams and Enterprise[1] |
| Group | One host with many invitees in the same slot | Standard, Teams and Enterprise[1] |
For Round Robin and Collective event types, each host must be a Calendly user with their own paid seat; invitees need no account or seat.[1] On Teams and Enterprise, advanced event types can combine Collective and Round Robin logic using multiple groups of hosts, so some hosts always attend and others rotate from pools.[2]
Shared and team event types
Shared event types can be created by any host unless an admin restricts them, do not appear on landing pages and have no custom link. Team event types are created by owners, admins and team managers, appear on a team page and can have a custom link.[1] Shared event types work only among users in the same organization, and the organization must allow their creation.[2] The legacy Professional plan listed collective event types and group events.[12]
Where team features start in the plan ladder
The Help Center says the Standard plan is for individuals or small teams that need multiple event types, calendar connections or Automations but do not yet need team-level lead routing or admin controls, and that the Teams plan is for those who need to route leads, distribute meetings across reps or manage scheduling at the team level.[8] Enterprise adds the full Salesforce routing suite, Microsoft Dynamics 365 and Power Automate connections, and an audit log.[8] Calendly lists the Free plan as limited to one-on-one scheduling with one event type, so Collective, Group and Round Robin event types all require a paid plan.[9]
Team pages and groups
A team page is an external landing page listing selected team members and event types; team members must belong to the organization.[11] A group is an internal structure for organizing users by department or location, tracking activity and delegating limited admin rights to group admins. Groups are listed for Professional, Teams, Teams Plus and Enterprise.[10] A user cannot be assigned to a group while on the Standard plan: Calendly says groups are supported on Teams and higher.[2]
Managed Events
Managed Events are reusable templates that an owner or admin creates, assigns to users or groups and can lock. Each assignee gets a version linked to the template.[3] Changes sync only for sections where editing is turned off. The ability to set editing permissions section by section, and so to lock, is available on Teams and Enterprise; on the legacy Professional plan an admin updates assignees by unassigning and reassigning, which replaces the user’s version and any edits.[3][4] Location is always editable.[3] Managed Events are listed for Professional, Teams, Teams Plus and Enterprise.[3] HubSpot lookup routing depends on Managed Events.[7]
Lead routing
Calendly Routing lets a form qualify a lead and send the person to an event type, a custom message or an external link. It works with Calendly’s own routing forms and with HubSpot, Marketo or Pardot forms, and can use Salesforce to look up an existing account owner.[5] The plan boundaries are as follows.
- Form-based routing. The Teams plan includes routing leads with Calendly, Marketo, Pardot or HubSpot forms.[8] The Routing article lists it for Professional, Teams, Teams Plus and Enterprise.[5]
- HubSpot lookup. Listed for Teams, Teams Plus and Enterprise. It needs an organization owner or admin, a HubSpot free or paid plan with HubSpot admin privileges, matching Calendly and HubSpot emails, and Managed Events.[7]
- Salesforce lookup. Listed for Enterprise only, as part of the full Salesforce routing suite. It needs Salesforce Enterprise edition or higher and Salesforce admin privileges, and the Calendly user must exist in Salesforce with a matching email. Routing can be based on the owner of an Account, Contact, Lead or Opportunity.[6][8]
- Meeting sync. The Teams plan lists syncing meeting data to Salesforce; the Enterprise plan adds Microsoft Dynamics 365 and Power Automate.[8]
- Existing routing tools. Calendly documents use alongside LeanData and Distribution Engine.[5]
The pricing page’s comparison table shows the same split: forms and lead routing from Teams, assignment-based routing for HubSpot on Teams and above, assignment-based routing for Salesforce on Enterprise, and admin tools such as admin-managed events and organization-wide Zoom connection on Teams and above.[9]
Admin tools by plan
The pricing page’s comparison table separates organization-level administration from personal scheduling. Team scheduling analytics are listed from Standard upward, while grouping teams and assigning admins, creating admin-managed events and assigning them to a team, and connecting Zoom for the whole team as an admin are listed from Teams upward.[9] Advanced admin controls are listed only with Teams Plus and by inquiry on Enterprise.[9] The Admin settings page shows who sees what: owners, admins and group admins (with limited access) can reach the Admin section, and everyone else sees only the organization directory.[13]
Reviewing entitlement against use
Because all users in an organization must be on one plan, a downgrade from Teams to Standard removes round robin, locking of managed events and routing for every seat at once, and the Help Center says a user cannot be assigned to a group while the Standard plan is selected.[2] A practical review therefore lists, per organization, the Round Robin and routing-form event types in use, the Managed Events with locked sections and the groups with group admins, and compares them with the plan on the Billing page. This is commentary on the cited documents, not a Calendly rule.
Third-party licences
Routing from HubSpot, Marketo, Pardot or Salesforce depends on the customer’s own licence with that vendor, and Calendly’s requirement of a particular Salesforce edition or HubSpot admin role is a dependency rather than an entitlement that Calendly provides.[6][7]
Out of scope
This article does not cover single sign-on, SCIM or Domain Control, which are in the enterprise article, nor the technical set-up of routing forms.
