Calendly sells two AI products alongside scheduling. Notetaker records, transcribes and summarizes meetings, and Callie is an assistant that schedules meetings over email and answers questions about meetings in Calendly. Neither is priced as a separate product in the pricing page text. They are entitlements of the Standard Plus and Teams Plus plans, and optional on Enterprise.[10][11]
Editions and entitlements
- Standard Plus. Standard plus unlimited Notetaker access, Callie scheduling over email, and Ask Callie inside Calendly.[10]
- Teams Plus. Teams plus the same AI features and shared team meeting context. Teams Plus is USD 8 per seat per month above Teams at each tier of annual pricing.[10]
- Free, Standard, Teams. The pricing page marks Notetaker as not included and shows the Plus plans as the way to add it. Teams on the pricing page carries a notice to “Add Notetaker & Callie”.[11]
- Enterprise. Notetaker and Callie are listed as optional, with the instruction to inquire about access.[11]
Because all users in an organization must be on the same plan, a Plus plan applies to every seat in the organization, not to individual users.[12]
Notetaker
Counting and limits
Notetaker produces AI-generated summaries, transcripts and action items called recaps. Standard Plus and Teams Plus allow unlimited recaps per month. After the 14-day trial, select users on Free, Standard or Teams receive 5 free recaps; more require a Plus plan.[1] See Notetaker recap.
- Notetaker supports Zoom, Google Meet and Microsoft Teams meetings; it does not join phone calls, audio-only calls or in-person meetings, and it is available only in English.[1]
- It records for at most 2 hours per meeting and then leaves, providing a recap of the first 2 hours.[1]
- Only the meeting host or an assigned alternative host can approve recording; the bot waits up to 15 minutes and does not record while waiting.[2]
- Owners and admins can disable Notetaker for the whole organization.[2]
Downgrades, moves and retention
On a downgrade to a plan without Notetaker, past recordings and recaps remain accessible, but Notetaker stops recording and summarizing new meetings, and recording is off by default. Downgrading between the two Plus plans does not interrupt Notetaker.[3] When a user moves to a different organization, Notetaker settings and recaps do not transfer; recaps remain with the original organization and are no longer accessible to the user after the move.[2] Recaps stay available for as long as the account exists and are not affected by subscription status.[2]
Customer responsibilities
The Customer Terms make the customer solely responsible for notices to, and consent from, Participants and other individuals in connection with recording and AI transcription, and state that Calendly makes no representation that its consent tooling is sufficient under law. The customer must also be logged into an active third-party video conferencing tool, for which that provider’s terms and fees may apply.[7] A person given access to recaps through a Limited Access Account does not own them: they belong to the customer who shared them and may be removed at that customer’s discretion.[7] Calendly states that it does not currently comply with HIPAA, GLBA or similar health and financial regulations, which also appears in the Customer Terms as a warranty that Customer Data will not contain regulated information.[2][7]
Data location and recording notices
Calendly says it stores user and invitee data, including recap data, in secure U.S. data centers run by Google and Amazon Web Services.[2] When Notetaker starts recording it posts a message in the meeting chat, and anyone in the meeting can stop it by typing /stop, after which recording cannot be turned back on for that meeting.[1] When Notetaker is first enabled it is added to all future meetings unless the user turns that setting off.[2]
Callie
Callie is available on Standard Plus and Teams Plus for English-language users, and the Help Center adds that beta availability during free trials may vary.[4] The pricing page labels Callie “Beta”.[11] Beta Services are governed by the Beta Terms: they may be used only for evaluating and testing, for a period Calendly sets, with no support, no warranty and the right for Calendly to discontinue them at any time.[9] The Customer Terms add that Beta Services may be offered at no charge.[7]
Customers add callie@calendly.com to an email thread, and Callie finds times in the user’s availability, suggests options and sends details, or answers questions in Calendly about past meetings. Callie schedules with the user’s default event type, does not change Calendly settings, and does not change the schedule without approval. If two people add Callie to a thread, only the first Callie works.[4][5] Calendly says Callie may be usable for general scheduling that involves no regulated data, and leaves it to the customer to decide whether its activities trigger health or financial privacy laws.[5]
AI Features in the Customer Terms
The Definitions page defines AI Features broadly as functionality that includes artificial intelligence, machine learning, chatbots or automated public data retrieval, and treats all Input and Output as Customer Data.[8] Under the AI supplement, Calendly may use technology from third-party providers, to which the customer’s Input and Output are shared; the customer is responsible for Input, accepts that Output may be inaccurate, and agrees to review all Output before using it.[7] The customer also indemnifies Calendly against third-party claims resulting from its use of AI Features.[7] Calendly states that it does not sell customer data or use it to train AI models, currently uses large language models from OpenAI, and does not provide an opt-out from AI features, although in most cases users choose whether to use a feature.[6]
Credits
Where a Plan Tier provides AI Features subject to usage limits or credits, or the customer buys credits, the Customer Terms state that credits are not legal tender, have no cash value, cannot be redeemed for cash or refunds, and are non-transferable and may not be shared across accounts.[7] The terms do not state a credit quantity for any plan; amounts are set by the invoice, Order Form or billing page. Fair-use rules also allow Calendly to limit AI Features and credit-based functionality if a customer’s use may affect others.[7] See Credits (AI Features).
