UKG Pro Workforce Management and UKG Ready licensing

This article explains how UKG counts and bills UKG Pro Workforce Management (formerly UKG Dimensions) and UKG Ready: employees on the Order, Seasonal Licenses, the blended rate, tenants, the Active Employee and Compensated Employee tests in UKG Ready, and the third-party components that come with them. UKG sells workforce management in two product lines with different counting rules. UKG Pro Workforce Management (UKG Pro WFM) is sold with or without UKG Pro Pay. UKG Ready is the suite of HR, time, scheduling, payroll and related modules that the UKG Ready Services Description covers, and it is counted per active or compensated employee rather than per Order quantity.[2]

UKG Pro Workforce Management

Names and scope

The UKG Pro Workforce Management Services Description, dated 2026-09-17, lists “UKG Pro Workforce Management (Hourly or Salaried)(f/k/a UKG Dimensions)” first among the services it covers.[1] The same list includes UKG TeleStaff Cloud, UKG Pro Absence, Accruals, Activities, Advanced Scheduling, Analytics, Auctions, Data Hub (Enterprise or Premium), Forecasting, Tips and Tokes (formerly UKG Pro Gaming), Healthcare Productivity, Leave, Rotation Schedule, Scheduling, Strategic Workforce Planning, Task Management by Thinktime, Timekeeping (Hourly or Salaried), People Analytics, additional non-production tenants and Workforce Intelligence Hub dashboards.[1] Licence managers should expect Orders and older contracts to carry either the Dimensions name or the Pro WFM name for the same platform.

The right to use

Without UKG Pro Pay or People Center, the right to access and use UKG Pro WFM “is limited based upon the number of employees identified in the Order”. The customer increases the number by signing an additional Order.[1] Monthly service fees are invoiced at the Billing Frequency on the Order from the Billing Start Date, and UKG may invoice up to 60 days before the Billing Start Date.[1]

The Master Services Agreement overlays the usual rules: the entitlement covers the employees listed in the Order, including those of Affiliates, minimum quantities cannot be decreased during a term, and quantities that are required must be purchased.[4]

Seasonal Licenses

A Services Description clause allows “Seasonal Licenses”, which are limited use licences valid only for four consecutive months in the annual period shown on the Order. They run from the first day of the starting month to the last day of the ending month and take effect automatically each year during the Term, unless terminated or not renewed under the Agreement.[1] Retail and hospitality customers with peaks outside the stated window should check whether hires outside those months need regular quantities.

Ordered with UKG Pro Pay

When UKG Pro WFM is ordered with UKG Pro Pay or People Center, the services follow the variable usage model and are billed at a blended rate. The customer pays the Monthly Minimum Quantity and any Usage Overage, with the fee equal to employees multiplied by the applicable fee and never below the minimum. Launch fees are based on the Launch Quantity with a 110% tolerance.[1][3] The employee-type structure in that case comes from the Pro Pay document, described in UKG Pro Pay and People Center licensing.

Tenants and recovery

UKG Pro WFM “includes one standard production tenant and one partial copy non-production tenant limited to 36 months of data”. Another partial copy tenant is ordered annually for an additional fee. For production, the recovery time objective is 24 hours and the recovery point objective 4 hours, and for UKG Pro Strategic Workforce Planning both are 48 hours.[1]

Third-party components

Several components bring terms from outside UKG.

  • Boomi AtomSphere. Except for TeleStaff Cloud, customers receive a right to use the Boomi AtomSphere Service and associated software, licensed by Boomi, LP. The right is limited to creating integrations to and from UKG Pro WFM and ends when the right to use the subscription ends. The customer may not permit others to copy the Boomi software and is responsible for licensing any third-party products the integrations connect to.[1]
  • Google Cloud Platform. UKG Pro WFM Data Hub Enterprise requires Google Cloud Platform services, including BigQuery and Storage, which “must be obtained by Customer directly from Google”. Workforce Intelligence Hub dashboards also require these services.[1]
  • Employee Voice. UKG Pro WFM Employee Voice grants UKG the right to sub-license de-identified customer data to third parties, currently Mercer (US) Inc., and is offered in the United States and Canada in English.[1]

Included API and webhook volumes

As with UKG Pro Pay, UKG Pro WFM includes a maximum of 10,000 Webhook Event Notifications and one million API calls per calendar month for the tenant on the Order. Larger volumes are invoiced automatically as additional call packs at UKG’s then-current rate.[1] See UKG API, webhook, Compose and Dynamic Workforce Operations add-ons.

Service levels

The availability target is 99.75% a month with credits of 3% of monthly fees for each 1% below target, capped at 100%. The standard maintenance window is Thursday from 12:00 AM to 4:00 AM Eastern Time in the US and Canada, with equivalent windows for Australia and Central Europe.[1] Support is included under the same priority model as other UKG SaaS products.[7] Customer data can be retrieved during the Order Term and for up to 30 days afterwards unless otherwise agreed.[1]

UKG Ready

Scope

The UKG Ready Services Description, dated 2026-09-02, covers UKG Ready Time, HR, Learning, Scheduler, Recruiting, Leave, Attestation, Performance, Access Control, Workforce Insights (formerly People Insights), Integration Hub, Expense Tracking, Document Manager, ACA Manager, Benefits, ACA filing services, Compensation and the UKG Bryte AI features for Ready.[2] Payroll, benefits, COBRA, ACA and Beacon services have Services Descriptions of their own.[5]

Five pricing bases

The right to use is “limited to the specific Subscription Services specified on the Order”. UKG prices each service on the basis stated on the Order: “(a) per month; (b) per active employee (“Active Employee”) per month usage; (c) per compensated employee (“Compensated Employee”) per month usage; (d) per transaction (e.g. pay statement); or, (e) per access point, as applicable.”[2] UKG monitors usage to calculate the usage portion of the fees.[2]

Who counts as an Active or Compensated Employee

An employee is deemed an Active Employee or Compensated Employee during a billing period if any one of six tests applies:

  1. time has been entered for the employee;
  2. records are included for the employee for processing payroll;
  3. records are included for the employee within an import or export process;
  4. the employee has access to the service;
  5. benefit time has been accrued for the employee; or
  6. the customer has marked the employee as “Active” in the service during the period.[2]

An employee with the status “Is Terminated” is not counted.[2] The tests are alternatives, so a person who never enters time but sits in an integration file, or who retains access after leaving, can still be billable until the terminated status is set. This differs from the named employee types of UKG Pro and is closer to a monthly active-user count, a pattern discussed in named-user licensing.

Fees and minimums

The customer pays the Monthly Minimum Quantity and any usage above it. UKG invoices the minimum from the Billing Start Date and the overage monthly in arrears. The monthly fee is employees multiplied by the applicable fee, but never calculated on fewer employees than the Monthly Minimum Quantity.[2] The Billing Start Date rule is the same as for UKG Pro: on or before the 15th, the month is invoiced; after the 15th, invoicing starts the first of the next month.[2]

Miscellaneous payroll charges such as W-2 and 1099 forms, printing, off-cycle payrolls and returns are set out in a Pricing Exhibit on the UKG Community and are not public.[6]

Data, third-party software and AI

Customers may retrieve data at no charge during the Order Term and for no more than 30 days after the agreement ends, unless the parties agree otherwise.[2] The integrated DocuSign e-signature in UKG Ready Document Manager “requires Customer to separately obtain and maintain a DocuSign license”.[2] UKG Bryte Embedded AI features are defined by an exhibit that lists them per module, such as custom translations and an integrations agent for UKG Ready, interview and job tools for recruitment, and review summaries for performance. Some are available only in the United States.[2]

Practical points

  • Map every Dimensions or Pro WFM entitlement to its Order; do not assume the headcount in the HR system is the licensed headcount.
  • For UKG Ready, remove terminated people promptly. Access, integration files and accruals can keep them billable.
  • Confirm whether integrations built on Boomi AtomSphere will survive a move to another timekeeping system, since the right ends with the subscription.
  • Keep the Google Cloud account for Data Hub in the customer’s own name and budget.
