Tungsten TotalAgility licensing

Tungsten TotalAgility is Tungsten Automation’s platform for intelligent document processing and process orchestration. It was formerly Kofax TotalAgility. Customers obtain a licence key “from your Account Manager or Tungsten Automation Support”. The licence is then enforced by the Tungsten License Server service installed with TotalAgility.[1] The contractual terms are the Tungsten EULA and the Sales Order. The Sales Order sets the purposes (production, evaluation, testing, demonstration, disaster recovery), the duration and the volume limits.[6] TotalAgility’s licensing combines seats, counted as concurrent user sessions, with consumption, counted as annual page volumes.

Editions

TotalAgility 2026.1 describes three cumulative licensing tiers. “Each tier builds on the previous one.”[2]

Metrics

TotalAgility groups its licences into system, station and volume licences. The primary server statistics show each licence with “start date, expiration date, available licenses, and maximum licenses”.[5]

The thresholds are defaults for alerts, not entitlements.[5] The LLM token volume “Monitors Tungsten LLM token usage for Generative AI, Copilot for Development, and Copilot for Insights”. It does not apply to Copilot for Extraction and OCR.[5]

Counting / floors

Concurrent users and reserves

“In the Concurrent User model, many users can simultaneously log into the system. Each user session consumes a license.” A user logged into TotalAgility Advanced Studio and Workspace at the same time, or into Advanced Studio in two browsers, “consumes two concurrent licenses”. The license server releases the licence when the user logs off.[1] Catalog proof: Each TotalAgility session consumes a concurrent licence, even for the same user.

When concurrent users reach the maximum, the system checks for reserved licences. Two policies limit them: “A reserved license expires seven days after you begin using the license”, and “You can use each reserved license only twice within 12 months.” When no reserved licence is left, additional users cannot log on.[1] Reserve licences cannot be allocated to tenants in an on-premise multi-tenant environment.[5] Catalog proof: A TotalAgility reserved licence lasts seven days and can be used twice in 12 months.

The following is commentary. Peak concurrent sessions, not named users, drive the station count, and a user with two sessions counts twice. Reserved licences cover short peaks but cannot carry a sustained increase.

Page volumes

Both page volumes are annual and recurring. Each purchase comes with a 5% non-expiring one-time reserve, which the system uses automatically once the annual volume is depleted.[3]

  • Imaging Page Count “is decremented once per page for core Capture activities”. This covers pages created by scanning, by the import connector, SDK, MFP or web, mobile and file-upload controls, by document conversion or image processing, by copies, and by PDF generation.[3]
  • Transformation Page Count “is decremented once per page for automatic Capture activities”. This covers pages classified or separated in the Transformation Designer, and pages from which data is extracted with any locator other than the bar code locator. Tungsten recommends always holding at least one Transformation page, because “license checks occur before it is determined whether a process or project will actually use” it.[3]
  • Not decremented. No volume is consumed for viewing files, running validation logic, moving or classifying pages in Validation, Verification and Document review, transfers between sites, deletion, export, or importing a source file that is not normalised to pages. Blank pages and separator sheets removed before the job starts are not charged.[3]
  • Composite activities decrement volume only for the pages that remain after the activity runs.[3]

Catalog proof: TotalAgility decrements Imaging Page Count once per page created and adds a 5% reserve; TotalAgility decrements Transformation Page Count per page classified, separated or extracted; Viewing, validating, exporting and deleting pages do not consume TotalAgility volume.

Limited Users

The Limited Users system licence lets anonymous users create jobs or read the properties of jobs in progress. It “does not have a volume associated with it; instead has a one-off charge”.[3] Catalog proof: TotalAgility Limited Users is a one-off charge without volume.

Activation and term

“The license period starts once the license is activated”, so activation can be deferred until the system goes into use.[1] Threshold alerts can warn a set number of days before a term licence expires, 60 days by default. For a 3-year term of imaging volume, the alert is based on the end date of the third year.[5] Under the EULA, term licences renew for three-year terms unless notice is given 30 days before expiry, and term fees are owed for the whole term.[6] Catalog proof: The TotalAgility licence period starts on activation; Tungsten term licences auto-renew for three-year terms unless notice is given 30 days before expiry.

Virtualization & partitioning

TotalAgility licences count sessions and pages, not servers or cores, in the retrieved documentation. Several instances may share one License Server with a single serial. The configuration is supported only if “the License Server version must match the highest TotalAgility version between the two environments”. In that case “all License file types will be available in both environments”.[1] Catalog proof: A shared TotalAgility License Server must match the highest TotalAgility version.

The following is commentary. Sharing a serial between environments pools the same entitlements. Non-production use still has to match the purposes on the Sales Order.[6]

Cloud / BYOL

The License servers option, which covers backup servers and manual reactivation, is available only for on-premise TotalAgility. In on-premise multi-tenant and Azure environments the licence is reactivated automatically. If the system cannot reach the primary server, “it automatically uses the backup server license”.[4] Catalog proof: TotalAgility falls back to a backup license server; on-premise only.

Scanning: VRS Elite

“TotalAgility includes a limited number of Tungsten VRS Elite licenses”, and more may be needed depending on the number of scanners. Three options exist. OEM Basic or Professional licences come with many scanners. A standalone workstation licence “can only be activated on one scan station at a time”. Concurrent licences can be managed centrally through the TotalAgility License Server.[1] Catalog SKU: Tungsten VRS Elite license (TotalAgility).

Programs

  • Term license renewal and Software Maintenance and Support. Both renew in three-year terms under the EULA and carry reinstatement fees if allowed to lapse.[6]
  • Audit. The EULA allows telemetry and annual record requests. Volume overuse is charged at list price with 12% interest, and with audit costs if use exceeds 105% of the licence.[6] TotalAgility’s own statistics record the same volumes, so the primary server statistics are the first evidence in any review. Out of scope

  • Tungsten-hosted TotalAgility cloud subscriptions, whose service terms were not retrieved.
  • AP Agility, Communications Manager, SignDoc and other products that can run on TotalAgility.
  • Prices and the volume quantities included in each tier, which are set in the Sales Order.
