Ellucian licensing is the set of arrangements by which Ellucian, a higher education software company, supplies student information system (SIS), enterprise resource planning (ERP) and platform software to colleges and universities. Ellucian describes itself as partnering with “approximately 3,000 customers across 50 countries, serving more than 21 million students”.[5] Its public documents describe three things a licence manager can rely on: the existence of an institution-level “License Agreement” covering software, services and maintenance;[1] a growing SaaS line, led by Ellucian Student and the Ellucian Platform, alongside long-running on-premises Banner and Colleague systems;[4] and a statement that AI is priced inside the core subscription.[3]
Terms in the License Agreement itself, such as the licence metric, entitlement quantities, support levels, audit rights and renewal terms, are not on ellucian.com. Access to the Customer Center, where customers log in for support and documentation, is limited to institutions on an active maintenance agreement.[2]
Editions
Ellucian names these offerings in public documents. None carries a published edition table or part number.

Metrics
Ellucian publishes no licence metric such as a per-student, per-employee or per-FTE unit. The only quantified units in its public documents are these.
| Unit | Catalog row | Source wording |
|---|---|---|
| AI Request | AI Request | “One resolved task counts as one AI Request, regardless of how many steps, systems, or policies were involved behind the scenes.”[3] |
| Core subscription | Institution-sized core subscription | “One core subscription price. It includes pre-built AI capabilities sized to your institution.”[3] |
| Customer Center account | Customer Center User | Any employee of a customer institution in good standing with a current maintenance plan.[2] |
| Case priority | Support case priority (1 to 4) | Priority numbers from 1 to 4 set the response time.[2] |
Counting / floors
The AI pricing page says the AI allowance is “sized to your institution” but does not say what size means.[3] Whether the core subscription is sized by FTE, headcount, modules or another measure is not stated in any public document reviewed, and neither are minimum quantities or rounding. A licence manager who needs the counting basis must read the Order Form or License Agreement. The practical risk is the usual one for institution-sized subscriptions: when enrolment or employee numbers change, the contract, not the web page, decides whether the price changes.
Virtualization & partitioning
No public Ellucian document describes processor, core, virtual machine or partitioning rules for Banner or Colleague. For SaaS products these concepts do not apply because Ellucian operates the platform. For on-premises systems, the License Agreement is the only source.
Cloud / BYOL
Ellucian distinguishes SaaS from hosted software. Its blog states that “Ellucian Student is not simply hosted Banner or Colleague” and describes continuous updates “rather than periodic upgrades”.[4] Customer Center permissions list “Cloud cases” and Ethos tools, which indicates that Ellucian-managed cloud environments exist alongside customer-run ones.[2] There is no public bring-your-own-licence rule: moving on-premises Banner or Colleague to SaaS is a migration project that Ellucian sells as services, not a licence conversion described in a public document.[11]
Programs
- License and maintenance agreement. The Terms of Use for Ellucian’s Customer Center define the “License Agreement” as the “software license, services and/or maintenance agreement” separately entered into with “the Ellucian company with which Your Institution has its latest agreement”.[1]
- AI included in the core subscription. Ellucian states “No tokens to purchase. No credits to track. No meters to manage.”[3] See Ellucian AI pricing and AI Requests.
- Navigate to SaaS. An incremental migration approach, “capability by capability or value stream by value stream, in planned waves”.[4]
- Anthology continuity. After the acquisition closed on 2025-12-31, Ellucian said it “will continue the support, service and contractual terms for all 260+ customers with no immediate changes” and that “Existing agreements remain in place”.[7][8]
Contract terms
The only contract text Ellucian publishes is the Terms of Use for its Customer Center and Partner Portal. It states that users represent that their institution “has a current License Agreement”, that Ellucian Software downloaded from the services is governed by “Your License Agreement which accompanies such Ellucian Software”, and that users must not install such software before agreeing to that agreement. It also bars modification, decompilation and reverse engineering of Ellucian Software except where law permits.[1] Ellucian may change the Terms of Use at any time, and changes are effective when posted.[1] Details are in Ellucian Customer Center terms and maintenance.
Audits and compliance
No public Ellucian document describes a licence audit, usage reporting or true-up process. For AI, Ellucian says admin dashboards show usage and adoption and that its System of Intelligence provides oversight and forecasting.[3] Ellucian also states that customer data is “never shared or used to train external models”.[12] Compliance with the License Agreement is the institution’s responsibility under terms that are not public. For the general method see software license audit and license compliance.
Out of scope
- The License Agreement, Order Forms, maintenance terms, service level agreements and price lists, none of which are public.
- Counting basis and prices, including any FTE, headcount or enrolment formula.
- Security certifications, privacy notices and the Acceptable Use Policy attached to the Terms of Use.
- Partner and reseller terms, and consortium or public-sector purchasing vehicles.
- Litigation. No court case about Ellucian’s software licensing was identified with a primary court record.
