DATEV payroll and hosting licensing

This article is about how DATEV licenses payroll software (DATEV LODAS, DATEV Lohn und Gehalt, DATEV Arbeitnehmer online, DATEV Personal) and how it licenses hosted environments (DATEVasp and DATEV-SmartIT, including Microsoft licences), not about accounting or the firm packages.

On This Page

DATEV payroll and DATEV hosting both split a bill into two parts. One part is the licence for the software; the other is a usage charge counted in a different unit. For payroll the second part is the employee. For DATEVasp and DATEV-SmartIT it is the hosted user, mailbox or module. Reading either price list needs both parts.

Editions

Payroll programs. DATEV LODAS and DATEV Lohn und Gehalt each come in a comfort and a classic edition, priced in the same structure. In the company price list (Stand 08/2026), LODAS comfort and Lohn und Gehalt comfort cost EUR 45.46 per month for the first Netzlizenz or Benutzerlizenz Einzelanwendung and EUR 13.66 for each further one, and LODAS classic and Lohn und Gehalt classic cost EUR 27.20 and EUR 7.93. The Benutzerlizenz Set tiers start at EUR 26.68 (comfort) and EUR 15.86 (classic) for one user and add EUR 0.52 per user above 40.[1] DATEV LODAS and Lohn und Gehalt are also available as add-on modules to the Basis-Angebot from EUR 10.56, and the Mehrwert-Angebot includes them.[2][6]

Employee-facing services. Arbeitnehmer online Meine Abrechnungen is priced at EUR 0.20 per employee and month for payslip access, and Personal at EUR 0.40 per employee and month for personnel documents.[1] The Personal-Managementsystem classic and Personal-Benchmark online are tiered per user in the firm list (for example Personal-Benchmark online from EUR 10.25 for one user).[2] DATEV also offers a payroll service (Lohndienstleistung) in which DATEV performs payroll for a firm, for example “Abrechnung Normallohn” at EUR 9.85 per month in the price list before 2025-10-31.[2]

Hosting. DATEVasp Basismodul lets customers run DATEV and Office programs in the DATEV data centre (“im DATEV-Rechenzentrum betreiben und warten lassen”). The Basismodul is tiered by number of users: EUR 425.25 per month for one user and EUR 2,950.50 for 40 (Stand 08/2026), plus EUR 57.75 per user above 40.[1] DATEV-SmartIT provides a standardised cloud platform matching the standard scope of the software for firms and companies; the DATEV Kommunikationsserver is required and every user needs a DATEV SmartCard.[1]

The price list says the Abrechnungsgrundpreis includes processing, evaluations, backup, archiving, data transmission and electronic feedback. It is charged per employee and month even for departed employees when a payroll is run after leaving because of retroactive changes; for everyone else a recalculation is covered by the base price already charged.[2] In the company list the Abrechnungsgrundpreis shows no price and refers to the customer’s tax advisory firm; the firm list shows EUR 1.43 per employee and month for LODAS and for Lohn und Gehalt (10/2025).[1][2]

Counting / floors

Volume bonus. An Abrechnungsbonus reduces the base price when many payrolls accrue in a calendar month. For the member the basis is the sum of payrolls under the firm and its clients in the Leistungsverbund, and clients in member-bound client business receive their own bonus. The firm list shows EUR 0.00 for employees 1 to 250, EUR 0.10 for the 251st to 500th, EUR 0.20 for the 501st to 1,000th and EUR 0.30 from the 1,001st employee per month.[2]

Basis-Angebot. Fees that depend on payroll volume (the Abrechnungsgrundpreis) accrue in addition to the add-on module price.[2]

Service charges. Per-employee and per-transmission items apply in addition: electronically supported audit transmission (EUR 0.45 per employee in the company list, EUR 0.35 in the firm list), DEÜV correction (EUR 2.50 per employee, one cancellation and one correction notice), rush processing (EUR 0.50), statistical office transmissions (EUR 3.00, capped at EUR 25.00 per request), printing and postage.[1][2]

Hosting. The calculation basis for the DATEVasp base services is the maximum number of simultaneous DATEVasp users (access counter); from 50 simultaneous users an individual offer is required. Billing starts with the month after go-live and follows the scope actually provided.[1][3] Add-on modules use other units: per administered user (Office package EUR 16.65, Access EUR 9.77, Visio Standard EUR 9.70, Project Standard EUR 19.70, Microsoft 365 infrastructure and operation EUR 4.20), per mailbox (Exchange EUR 8.00, e-mail archive EUR 6.00 per backed-up mailbox), per site (router EUR 32.80), per server (EUR 262.50) and per hosting module (DMS EUR 126.00).[1]

Virtualization & partitioning

DATEV hosting is not a customer-side virtualization question: DATEV provides the servers in its data centre and the customer accesses them over a secured internet connection.[3] The hosting fee covers the platform; the customer needs the use rights for the DATEV programs it runs there, and their fee is not part of the DATEVasp fee.[3] Using DATEV DMS with DATEVasp or DATEV-SmartIT requires the paid Hosting DMS module.[2] DATEV-SmartIT users are counted per created user for the Office package, which cannot be deselected, and per created mailbox for mailbox modules.[1]

Cloud / BYOL

DATEVasp allows third-party software at the customer’s request. The customer must hold the use rights, including for updates, and ensure DATEV may host it; DATEV acquires no rights and enters no contract with the vendor, and stability effects from hosting are the customer’s to bear.[3] For Microsoft products, DATEV resells licences per administered user: Microsoft 365 Apps for Enterprise (EUR 14.30 until 2026-08-31, EUR 16.50 from 2026-09-01), Office 365 E3 (only for subscriptions concluded before October 2023 and not cancelled since), Microsoft 365 Business Premium and others. Users of Apps for Enterprise or Office 365 E3 must also carry the mandatory Microsoft Entra ID P1 licence for DATEV-managed multifactor authentication. Customers who bring their own Microsoft 365 licences into the DATEVasp server system pay a per-user infrastructure module (Art.-Nr. 42609). These resold items are excluded from the annual 3 percent step, and DATEV may adjust them to the vendor’s end-customer price.[1][4] Microsoft SQL Server 2022 is supplied with the DATEV programs, and Microsoft’s end-customer terms apply after the DATEV terms.[5]

Programs

  • Abrechnungsbonus (payroll volume bonus): described above.[2]
  • Annual 3 percent price increase: applies to payroll and hosting prices except the exempt Microsoft items.[1][4]
  • Conversion to the Benutzerlizenz (2027-12-31): payroll programs follow the same conversion from location licences to the Benutzerlizenz by 2027-12-31.[1]
  • Term: DATEVasp can be cancelled by the customer with one month’s notice and by DATEV with twelve months’, first after twelve months of billing; add-on modules likewise one and twelve months to month end. At the end DATEV hands over current data on machine-readable media (without system and configuration files) and deletes customer data on written instruction, at the latest three months after the end; a later restore costs by effort.[3]

Audits and compliance

Practical checks follow from the units. For payroll, reconcile the employee count behind each payroll run with the Abrechnungsgrundpreis lines, including retroactive runs for leavers. For hosting, compare concurrent DATEVasp users against the tier and the 50-user threshold, administered users against each add-on module, mailbox counts against Exchange and archive modules, and the Microsoft licence assignment (including Entra ID P1) against actual users. The customer must also keep its own IT systems maintained and protected.[4]

Out of scope

Prices for postage, print and shipping, consulting for DATEVasp introduction, DATEVnet network services, the content of the Lohn tax forms and Microsoft’s own licence terms are not covered. The DATEVasp contract is dated 03/2022 and the price list footnotes are newer, so changes between them are not visible in the retrieved documents.
