Workiva licensing is the set of commercial constructs under which Workiva sells its cloud platform for financial and regulatory reporting, sustainability and carbon reporting, and governance, risk and compliance (GRC) work. Workiva describes the product as a document and data collaboration platform that is cloud based.[16] Unlike many vendors in this wiki, Workiva publishes no customer agreement, no price list and no licence metric table. Its website terms say that many of its services “are subject to separate agreements between the parties (whether signed or clickwrap)”, and that those agreements supersede the website terms for the services concerned.[1] The pricing page tells the buyer to book a demonstration so that Workiva can prepare a customised quote, and it lists what is “included with every plan”.[2]
What a software asset manager can therefore document comes from Workiva’s Support Center and product pages. These describe how the platform is organised (organizations, workspaces, solutions and roles), which quotas follow the subscription level, which capabilities are paid add-ons, and which features are in early access. This article summarises those facts and states, for each, what the public documents do not show. Editions
Workiva does not sell numbered editions. It sells solutions, and a customer’s order form lists the solutions it has bought. The public pages group them as follows.

Metrics
Workiva documents the structure within which users and quotas are counted, but not a billing metric for each solution.
- Organization. An organization connects all workspaces at a company, and customers typically have one organization for the company.[3] Subscription level is set at this level: the Wdata quotas are tied to “your organization’s subscription level”.[7]
- Workspace. Workspaces are separate places for departments or teams, and solutions are how extra functionality, such as XBRL and Filing, is enabled in one.[4]
- Workspace member. Every workspace member has a role that determines the features available, and the role set depends on the licensing model.[5] Every user in an organization is an organization member by default, which lets the user be added to a workspace.[6]
- Wdata storage and querying. Lifetime storage and annual querying are capped at 100GB and 120TB for a Solution subscription, and at 500GB and 3,000TB for Enterprise.[7]

Counting and floors
Workiva’s public documents do not state a minimum purchase or a per-user price. They do show several counting and gating rules that matter to an inventory.
- Roles are assigned per workspace. Workiva advises assigning only one of the Editor, Viewer and Limited Starter roles to a user in a single workspace.[5] A user can hold different roles in different workspaces, so a headcount of organization members is not the same as a count of editors.
- Not every organization uses the same model. The Support Center says that an organization “not on the current solution-based licensing model” has different non-administrative roles, and it keeps a legacy table for the classic license model with Professional, Standard and Starter roles.[5] Catalog rows: Solution-based licensing model; Classic license model.
- Quotas are tied to the subscription level. Wdata storage and querying, and the number of Chains connections, depend on whether the subscription is Solution or Enterprise level, and extra storage and connections are bought through the Customer Success Manager.[7]
- GRC solutions are marketed without user limits. Workiva says its GRC pricing is value based and that it offers unlimited users, including external auditors.[11] Whether the same applies to other solutions is not stated in the public pages.
- Workiva staff can appear as users. Workspace Support Users are designated for Workiva staff such as a Customer Success Manager, and the Account access overview says Workiva employees cannot add themselves to accounts.[5][17] These members should be excluded from a customer user count only after the contract confirms the treatment.

Virtualization and partitioning
Workiva is delivered as a cloud service, so there is no installed-software virtualization rule. The partitioning concept is the workspace: workspaces separate documents, data and processes, and security settings that are enforced across all workspaces are applied at the organization level.[3][4] Wdata API rate limits are enforced per workspace rather than per user, which is a technical limit and not a licence term; see the Wdata, Chains and Customize Workiva article.
Cloud and BYOL
There is no bring-your-own-licence programme in Workiva’s public documents. Customers sign in to a Workiva-hosted organization, and the connectors that move data in and out are part of the service: the pricing page lists 70+ connectors, open APIs and a mobile app as included with every plan.[2]
Programs
- Customize Workiva is a paid add-on to an existing subscription. It can be scoped to a single solution or to the whole account, and it is not available within Government or Resale deals.[8] Catalog row: Customize Workiva add-on.
- Workiva AI is available to a customer that has signed the Workiva AI Terms of Use, after which it is enabled by default for the whole organization.[9] The pricing page also lists an integrated AI companion under items included with every plan.[2] Catalog row: Workiva AI Terms of Use enablement.
- Early access features, such as custom roles and the Workiva MCP connector, are offered for technical testing and evaluation for a stated period, after which Workiva may change or end them. See Workspaces, organizations and roles and the AI article.
- Workiva Support Users are Workiva or partner staff added to a customer account to deliver contracted services and support, and customers can remove them in Organization Admin.[17] Catalog row: Workiva Support Users.
Out of scope
This article does not cover Workiva’s securities filings, its reseller or partner agreements, professional services statements of work, or any customer-specific order form. It does not describe price levels, because Workiva does not publish them. A licence position for Workiva must be built from the signed order form and agreement, with the Support Center used to understand how roles, solutions and quotas are applied inside the platform.
