Exact Online editions are the commercial packages in which Exact sells its cloud accounting and ERP software. In the Netherlands, each product (Boekhouden for accounting, Handel for wholesale, Productie for manufacturing, Project Management, and Boekhouden for accountancy firms) comes in tiers named Essentials, Plus, Professional and, except for accountancy, Premium.[1][5] Each edition has a monthly price that includes a fixed number of users and administrations. Extra users and administrations are bought per month.
Under the Exact SaaS Conditions, the right of use is “for the number of Users, Administrations and modules as set out in the Exact SaaS Agreement”. The customer “expressly may not use the Web Application for or having it used by more Users and/or Administrations than the number specified”.[6] An effective license position for Exact Online is therefore a count of two things, users and administrations, per edition. Extra users for Handel and Productie cost EUR 26, 35, 43 and 65 per month by tier, and extra administrations EUR 21, 24, 26 and 38.[2][3] Productie editions bundle Boekhouden and Handel. Regional scope

Counting / floors
Users. Every person who uses the service is a User, including the customer’s employees and, for accountants, their clients’ users.[6] Exact’s FAQ answers the common question of whether the external accountant counts. It does not: “je accountant koppelt aan je administratie vanuit zijn eigen licentie”. Only if the accountant has no licence of its own is an extra user created.[1] Login details are personal to each User and may not be shared.[8] Catalog: The accountant is not a user of the client’s subscription; Login details are personal to each User.
Administrations. An Administration covers the financial accounts of the customer’s company, including each one kept for Subsidiaries.[6] Separate administrations may be kept for a Subsidiary in the Netherlands. Subsidiaries abroad may have their own administrations only within a supplementary module for that country’s legislation, and that gives them no right to use other parts of the application.[6] Running administrations for unrelated companies is a use “for the benefit of” another legal entity, which the conditions exclude, except for accountants on accountancy licences. Catalog: Separate Administrations only for Dutch Subsidiaries, unless a foreign-legislation module is held.
Per-licence allowances. The included sales invoices and bank connections apply to the whole licence, not to each administration. Exact’s example is Boekhouden Plus: 100 sales invoices and 5 bank connections, however many administrations the customer keeps.[1] Adding administrations therefore does not add invoices or bank connections. Catalog: Included sales invoices and bank connections apply per licence, not per administration.
Floors and reductions. Essentials editions cannot be extended with users or administrations. Growing beyond one user or one administration in Boekhouden Essentials means moving to a higher edition.[1] A reduction must state exactly which Users, Administrations, company types or modules are removed. Otherwise the customer keeps paying the monthly fee for them, and Exact may refuse reductions it considers a misuse of the right.[6] Catalog: Reductions must name the Users, Administrations or modules removed.
Volume. Exact Online is sized for the data volume of an average SME under its fair use policy.[6] Volume Packs, listed at EUR 250, are available only in Premium editions for heavier API traffic, processing or storage needs.[1] Catalog: Volume Pack; Fair use sized for an average SME; excessive use may be charged or suspended.
Virtualization & partitioning
Not applicable. Exact Online is SaaS and is counted in users and administrations.
Cloud / BYOL
There is no bring-your-own-licence route from Exact Globe+ or Synergy to Exact Online in the published terms. Exact’s FAQ notes that customers moving from older Exact products can import data from Exact for DOS, Exact for Windows, Exact Globe and Exact Compact.[3]
Programs
- Trials. Exact Online products can be tried free for 30 days. The trial then ends automatically unless the customer chooses to continue, and the trial data can be carried over. There is no trial for Exact Globe+ Productie and Synergy.[3]
- Monthly or annual. Exact Online is cancellable monthly (“maandelijks opzegbaar”), and the accountancy subscriptions are cancellable per month.[3][5] An annual subscription option exists under the conditions. See Exact SaaS Conditions and Exact Online terms.
- Accountant client accounts. Accountants may buy client user accounts so that clients can work in their own administration in the accountant’s part of the application. Exact decides availability, rights and eligibility for benefits.[6]
