Cegid retail, ERP and accounting licensing

This article is about how Cegid measures its retail (Cegid Retail), ERP (Cegid XRP Flex, XRP Ultimate, PMI) and accounting-firm (Cegid Expert, Cegid Loop) offers. HR, payroll and expense products are in a separate article, and the master terms are in the SaaS and On Premise articles. It is not legal advice.

On This Page

Cegid retail, ERP and accounting licensing covers three groups of products on the French site: retail (Cegid Retail and Cegid Retail Store Excellence), ERP (Cegid XRP Flex for smaller companies, Cegid XRP Ultimate for multi-site and multi-company groups, Cegid Orli for fashion and textile) and the accounting-firm tools listed on the terms page, such as Cegid Expert and Cegid Loop.[10] Cegid builds each offer from the SaaS or On Premise general terms and a booklet. Where a booklet says nothing about excess, the general terms apply: the tariff plus 50%, with back-billing.[9]

Cegid Retail

Cegid Retail is a unified-commerce platform for specialist retailers. It is documented in On Premise and SaaS (Advance) booklets, with variants named Y2, UR and Storeland. The wiki catalogs Cegid Retail (On Premise) and Cegid Retail Advance (SaaS).

Metrics and thresholds

The booklets do not name a retail-specific unit. They refer to the order form, which states the effective scope, and the general terms list the available metrics: named users and logical or physical systems such as points of sale, tablets or mobiles.[9] In the SaaS booklets, “Tout dépassement de ces seuils d’utilisation aura pour conséquence la révision par Cegid des frais d’abonnement au Service, conformément au tarif alors en vigueur.”[1] The UR booklet words the same rule for “frais mensuels d’abonnement”, which indicates a monthly fee.[3] The booklet’s revision clause replaces the 50% default only if the booklet is treated as prevailing, as the general terms state it does.[9] See Retail Advance exceeding thresholds revises the subscription at the current tariff.

Service scope

  • Point of Delivery. The SaaS service is based on one Point of Delivery; in the Advance booklet it may be placed in Ireland, Singapore, the United States or the United Arab Emirates, and in the UR and Storeland booklets in Europe.[1][3]
  • Environments. One production and one test environment; the test data refresh is limited to four per year, and an extra test database is optional.[1]
  • History. Advance keeps movement history for 36 months and may purge older history after three months’ notice; UR and Storeland let the customer keep six years (the current calendar year and the five previous ones).[1][3] See Retail Advance keeps movement history for 36 months.

On Premise Retail

For software installed on premise the On Premise general terms apply, with annual audit rights; see Cegid On Premise licence and audit terms. The booklet requires one of the last two major updates for support, localised versions need the matching Country Package, and a centralised support level needs two certified employees.[2] The booklet dates from August 2022 and states that Country Package use outside purchased countries is at the customer’s sole responsibility.

ERP

Cegid XRP Ultimate: concurrent users

XRP Ultimate is documented as an On Demand (SaaS) service. Its booklet defines “Utilisateurs concurrents : Utilisateurs qui accèdent simultanément au système pour effectuer des opérations ou des transactions.”[5] The scope ordered, “modules, nombre d’utilisateurs concurrents”, is in the Contract. The booklet does not say how peak concurrency is measured, so the order form governs. The service includes two environments, production and a standard test environment, with up to four data refreshes per year; extra refreshes are billed. History is kept for five years, and data-exchange volumes (inbound, outbound and web-service calls) have limits set in the technical prerequisites. If limits are exceeded, the service may be blocked or slowed, and Cegid disclaims responsibility for the effects; document storage limits depend on the number of concurrent users in the Contract and can be extended by buying storage.[5] See XRP Ultimate counts concurrent users.

Cegid XRP Flex: invoices and partners

The XRP Flex booklet applies from 2026-09-01. Its scope includes “modules, nombre d’utilisateurs nommés, tranches volumétriques”.[4] Two consumption thresholds matter:

  • Invoices. The product includes a maximum number of invoices per year; any excess triggers an extra charge equal to the number of excess invoices times a unit overage cost, at the tariff then in force.
  • Storage. Storage above the contractual volume is billed per extra GB tranche.

Pricing for consumption is in a document, “Modalités de tarification de Cegid XRP Flex”, that Cegid can send to the final customer and that partners can read on the partner portal.[4] The history kept is five years (the current year and four previous ones) and the Point of Delivery is in metropolitan France. See XRP Flex includes a maximum number of invoices per year.

XRP Flex is sold through Cegid Partners. The contract does not include support beyond the service, so the customer must buy support from a Cegid Partner; “Cegid ne garantit pas la bonne exécution du Support par son partenaire”, and without a compatible partner contract Cegid is not responsible for damage linked to support.[4] The partner also pays for a sandbox used to validate major versions. See XRP Flex support is bought separately from a Cegid Partner.

Cegid PMI

Cegid PMI (manufacturing ERP) is limited per customer to “10 utilisateurs nommés et/ou postes atelier en version Start et de 25 utilisateurs nommés et/ou postes atelier en version Advance”, for metropolitan France. The Advance version includes after-sales, maintenance-management and configurator modules, and the service is billed quarterly in advance.[6] The phrase “et/ou” means a named user and a workshop station both fall under the same maximum, though the booklet does not say whether they are summed. See Cegid PMI limits named users and workshop stations per customer.

Accounting firms: Cegid Expert and Cegid Loop

Cegid Expert: files (dossiers)

Cegid Expert is accounting production software for accounting firms, who may use it for their clients’ accounts in the course of their activity.[7] The scope is modules and named users. The 2025 booklet adds a Dossier rule for history: files unused for less than six years are kept at no charge; files unused for more than six years are, by default, ticked “à conserver” and “deviennent facturables à partir de juillet 2025 (facturation mensuelle au dossier)”. The customer may untick a file to stop billing one month later if done before the 25th, and files with shifted closing dates get a free period of up to 11 more months. In 2025 only, files unused for over ten years were deleted by default on 1 July 2025 unless the customer opted to keep them before 25 June 2025.[7] Deletion is partial: the accounting SQL database and portal data are deleted, while essential file information and associated documents are kept. See Dormant accounting files older than 6 years are billed per file. For a firm, a periodic review of dormant files before the fifth-year Q4 deadline controls the bill.

Cegid Loop

Cegid Loop is accounting and tax SaaS for firms and their client companies. Scope is functional modules and named users, shown in the subscription area of the order form.[8] Four rules shape licensing:

  1. The service is invoiced quarterly in advance, and an excess over thresholds updates the subscription price at the tariff in force.
  2. Every user must hold a Microsoft Office 365 subscription for the whole contract; the customer may buy “Microsoft Office 365 for Cegid” from Cegid.
  3. Shared document space is limited to 5 GB per file (dossier) and to PDF; extensions are billed at the tariff in force.
  4. Customers with the Cegid Care service level may buy an Assistance+ pack with a number of appointments a year (18 in the booklet’s example), and extra appointments are billed after 12 months.[8]

See Cegid Loop requires a Microsoft Office 365 subscription for all Users and Cegid Loop is billed quarterly in advance. The prerequisite means a Cegid Loop review should include the Microsoft licences of the same users.
