Celonis users, process modules and packages

This article is about who may use the Celonis Platform and what process scope they may use it on: named user types, Process and Domain Modules, Region and LoB scope, the Center of Excellence, and the Foundation, Ultimate and SMB packages. Capacity units are in a separate article.

A Celonis subscription answers two questions: who may use the platform, and for which business processes. The Metrics Description for the Celonis Process Intelligence - AI Platform edition answers the first with a small set of named user types and the second with the Process Module, a unit that Celonis prices by scope. This article walks through both, then the fixed-scope packages built from them.

Named user types

Celonis defines four named user types in the AI Platform Metrics Description, plus a concurrent type used only for Workforce Productivity:[1]

  • Analyst: a named user who has all the functionality of a Business User plus the ability to build and edit data models, machine learning models, skills and analyses. Analysts can also create, receive and interact with Executions from Action Flows.
  • Business User: a named user limited to accessing and filtering analyses built and shared in the platform, who can receive and interact with Executions from Action Flows.
  • Administrator: up to three Analysts may be designated as Administrators, with the added ability to invite other users and set permissions.
  • Celonis Process Designer Named User and Celonis Process Management Bundle Named User: users with comprehensive access to process design (and, for the bundle, modelling and governance) capabilities, with roles and permissions assigned by administrators.

The infrastructure entitlement of the AI Platform lists “Unlimited” for Analysts and Business Users, so these two types are not metered by count in that edition.[1] Process Designer and the Process Management Bundle are priced by the number of their Named Users purchased.[1] The Product Description lists both as optional add-ons in each edition.[2]

The named-user rule

Business Users, Analysts, Process Designer Named Users and Process Management Bundle Named Users may each be used only by one single natural person designated by name. They may not be made accessible to any third person, including employees of the same or affiliated companies. The customer may replace the person associated with a Named User by updating the name in the system.[1] This is the standard named-user principle described in named-user licensing: sharing a login breaches the metric even when the total headcount is under the limit. The MSA separately allows third-party suppliers and contractors to use the Celonis Materials solely to provide their goods or services to the customer,[3] so a consultant working on the customer’s tenant uses a named seat when the Order meters one.

In the earlier Execution Management System scope, the number of subscribed Business Users and Analysts was an upper limit for employees authorised to access the platform, and a Premium-Productive team allowed unlimited named users.[4] That contrasts with the unlimited users in the current infrastructure entitlement; see Celonis legacy editions and partner programs.

Workforce Productivity users

Workforce Productivity, the add-on that collects and analyses user interactions on desktops, is priced on Active Concurrent Users. An Active Concurrent User is a unique user, represented by the combination of a username ID and a unique machine ID, sending or capturing data at any given time during a calendar month. The permitted number is set in the Order Form, and users may be reassigned among employees as long as the number assigned at any time does not exceed the limit.[1] The Product Description notes that laws vary by country and use case and advises customers to consult legal experts before activating the feature.[2]

Process Modules and Domains

A Process Module enables the customer to mine, explore, model, simulate, build or use apps and leverage automation within a specific process. The subscription allows access to standard tools described in the Documentation, and selected premium tools may need an additional licence. The parameters of each module, such as object types, events and KPIs, are in the Process Catalog on the Celonis terms page.[1] A Domain is a group of Process Modules that pertain to one business area. The Finance Domain, for example, consists of modules such as Accounts Payable, Accounts Receivable and Record to Report, and may be bought as a bundle.[1] Celonis publishes generic and industry-specific domain and process catalogs for sectors such as banking, insurance, manufacturing, retail and utilities.[5]

Region and line-of-business scope

Fees depend on the selected modules and on the scope for which they may be used. A geographic scope appears on the Order under “Region” and a line-of-business scope under “LoB”. If an Order designates neither for a module, that module has no Region or LoB limitation. Use is also subject to import, export control and sanctions laws.[1] A licence manager reviewing deployments should therefore map each live process to a module on the Order and to its Region and LoB; running a process for a business unit or country outside the stated scope is a scope breach even where the user count is within limits. The MSA’s overuse clause makes the consequence a charge at then-current prices.[3]

Standard and premium applications

Standard Applications in the Celonis Marketplace are marked “Free”, but “the use of any application is contingent upon an active license for the corresponding underlying process it is built to analyze”. The Product Description says this applies to all Standard Applications, including former Premium Apps such as the Duplicate Invoice Checker, Sustainable Spend Management, Material Allocation and Supply Chain Network Visibility.[2] By contrast, the Sailfin Collections & Disputes Management, Credit Management and Cash Applications Management applications, and the Shipping Emissions, Material Emissions, Product Carbon Footprint, EcoVadis Sustainability Rating and IntegrityNext offerings, are optional paid add-ons.[2] Their pricing follows the scope of the module they support, and their scope may not be higher than the scope on the Order for that module, although it may be narrower. The Accounts Receivable premium applications require the Accounts Receivable module, the Material Emissions application requires the Direct Procurement module, the Shipping Emissions Reduction application requires Order Management and the Product Carbon Footprint application requires Procurement.[1]

Center of Excellence

The Center of Excellence (CoE) SKU lets a customer perform process mining on process modules it has not purchased. The CoE Discovery Module limits concurrent analysis to three Process Modules, and no module may be analysed for more than six calendar months.[1] In the November 2025 OCPM description the combined data ingestion for those three modules was also limited to 10 million Data Records, with an extra 100,000 Data Records for each $10,000 on the CoE SKU.[6] The CoE is a discovery tool, not a route to production use: a customer that wants to keep a process live beyond the window needs a Process Module.

System Transformation

The System Transformation SKU supports an end-to-end system transformation project, from planning new enterprise systems to implementation. Its scope is the transformation itself, not ongoing operational improvements to the underlying processes. The Objects and Events from Celonis’s catalog may be used regardless of process, as long as they come from the system the customer is migrating from or to, and both systems are named in the Order Form. Platform Apps built by partners need a separate licence, and value opportunities related to process performance require a specific Process Module SKU.[1]

Packages with fixed scope

The OCPM Infrastructure description lists commercial programs with static allocations that do not scale with spend:[6]

Package Limits Notes
Celonis Foundation Package Up to 2 Process Modules Includes Foundation activation support; additional Process Modules may not be added
E2E Celonis Foundation Bundle Up to 2 Process Modules in a permitted pairing Order to Cash (Accounts Receivable plus Order Management) or Purchase to Pay (Accounts Payable plus Procurement)
Celonis SMB Readiness 1 Process Module, 2 Business Users, 2 Analysts, 50 GB of APC Foundation Edition functionality; excludes Activation Support
Celonis Ultimate Package Up to 2 Process Modules Includes Ultimate activation support; no further modules

The same document says that the infrastructure entitlements are included in purchases of the Foundation Package, Ultimate Package and Process Module SKUs for US Public Sector offerings.[6]

Activation support

Activation is onboarding support available for standard source systems and processes listed in the Celonis documentation. For the Foundation Package it may include one standard data connector to a single source instance, standard OCDM setup and extraction, a first process overview, validation of one process with exploration of up to three use cases and review of up to three improvement opportunities, an assessment of environment requirements for notification automation, source system writeback and single sign-on, and one instructor-led virtual training session for up to five attendees. The Ultimate Package adds one further connection, up to 20 custom elements in the data model across two systems, one business-critical operational use case, an executive dashboard, value tracking through the Transformation Hub, and value-ready workshops.[7] The document describes activation as intended to support the customer’s initial use of the platform.

Practical checks

  • Count named seats against the Order only where the Order meters them; confirm in the Order whether Analysts and Business Users are unlimited.
  • Inventory live processes against the module list, with Region and LoB.
  • Check that any premium application sits inside the scope of its supporting module.
  • Confirm that sandboxes are used only for licensed scope.[1]
  • Check that fixed packages such as Foundation have not been extended with additional modules, which the OCPM description does not allow.[6]

Out of scope

This article does not cover price levels, partner-built Platform Apps, or the process catalogs’ object and event lists. Capacity units are in Celonis platform capacity: APC, CCU and AI Outputs.
