The Coupa Supplier Portal (CSP) is the web portal through which a supplier transacts with the customers of Coupa. Coupa describes it as “a free tool for suppliers to easily do business with their customers who use Coupa”.[1] The portal is part of the Coupa Open Business Network.[2] For a company that buys Coupa, suppliers are a counted party in the contract but not a charged one. For a company that sells to Coupa customers, the portal is a free account with optional paid subscriptions. This article covers both views, because supplier-side subscriptions are bought by suppliers’ business units and often go unrecorded.
Editions
Coupa’s public supplier pricing page offers four plans.[3]
| Plan | Price on the page | Contents named on the page |
|---|---|---|
| Registered | Free | Business Profile, Orders, E-Invoices, Catalogs, Payments, Sourcing Events, Growth Dashboard (limited access), AI-Powered Invoice Automation (limited uploads) |
| Verified | USD 549 per year | Verified Badge, Priority Search Ranking, everything in Registered, Growth Dashboard (full access), Precision Matching |
| Premium Support | USD 499+ per year | Expanded support starting at 6 hours per year, 24/5 Zoom support, one-on-one meetings |
| Advanced | USD 4,800 per year | AI-Powered Invoice Automation (unlimited uploads), unified strategic all-customer views of POs, invoices and payments, Transactions Dashboard, SSO and domain claiming, standardized tables, auto-reminders and reports |
The pricing page carries no date, so a licence manager should record the retrieval date and the price shown.[3] The Supplier Offerings FAQ describes the arrangement: the Supplier Offerings team “provides optional paid subscription services to suppliers who are looking for enhanced marketing, feature or support functionality”, while “the Supplier Portal remains a free tool for our suppliers”.[4]
Add-ons. The portal also has an Add-ons tab where suppliers can explore services from Coupa, such as Coupa Advantage, Coupa Static Discounting and invoice financing, and the documentation states “Coupa add-ons are free”.[5] See Free supplier access. A supplier that treats “add-on” as equivalent to “paid subscription” would misread the terms: Verified, Advanced and Premium Support are the paid items, and the add-ons are free.[5][3]
Metrics
Suppliers. The unit is the supplier organisation. A free, standard CSP account “allows unlimited customer connections and transactions”.[6] See Supplier. The customer’s Master Subscription Agreement says that, except as agreed on an Order Form, each party shall not charge Suppliers for the right to interact with the Customer through the Coupa Platform.[7]
Portal users. A supplier organisation has users. By default, “a new user creating a new supplier organization has the Administrator (Admin) role”. Administrators can invite new users and manage their roles and permissions, and they can limit what types of documents users can access and which customers they can see.[8] See Supplier Portal user. The pages reviewed do not state a cap on the number of users for the free account.
Subscriptions. The paid plans are annual subscriptions. Verified is “an annual subscription with an automatic renewal”, and the page says the supplier receives three reminder messages before renewal.[6] Advanced is “an optional, premium subscription for suppliers using the Coupa Supplier Portal (CSP)” and can be tried free for 30 days with no commitment, and it can be subscribed to with or without using the trial.[9] See Coupa Verified subscription, Coupa Advanced subscription and Coupa Premium Support subscription.
Counting / floors
Verified. Verified boosts “visibility, credibility and trust with buyers”. The supplier completes a profile, buys the annual subscription with payment information, and uploads one of a bank confirmation letter, a voided check or a business license as proof of identity. Coupa reviews the submission, which can take up to five business days.[6] The subscription is available in specific countries only.[6] A Verified supplier ranks higher in the Coupa supplier directory, but a supplier does not need Verified to do business on the portal.[6]
Advanced. Advanced adds, per the documentation, all-customer views of invoices and payments based on data from six months before the subscription sign-up date, a supplier dashboard, SSO integration, QuickBooks Online and NetSuite integration, a Coupa Supplier Portal REST API, and an AI extraction tool for invoices that are not backed by a purchase order.[9] The views draw on data from six months before the sign-up date, not on earlier history.[9]
Premium Support. The pricing page lists Premium Support from USD 499 per year, with expanded support starting at six hours per year.[3]
Floors. The pages reviewed do not state a minimum term beyond the year, a minimum number of users, or a refund rule that this article can quote. The Verified FAQ says a subscription can be cancelled at any time after purchase, that cancellations after the first 30 days are eligible for a prorated refund, and that a full refund requires contact within the first 30 days of purchase.[6] See Coupa Verified subscription.
Virtualization & partitioning
There is no virtualisation concept for the portal. Partitioning is by supplier organisation and by customer connection. A supplier can have one organisation connected to many Coupa customers, and the Admin controls which users see which customers.[8] The Advanced plan adds an “All Customers” strategic view that spans the supplier’s connected buyers, which would otherwise be seen one customer at a time.[9]
Cloud / BYOL
The portal is a hosted service, so there is no BYOL. The legal terms for suppliers are the Open Business Network Terms of Use, which “govern your participation in the Coupa Open Business Network”. Under them, “as long as You comply” Coupa grants the supplier “a non-exclusive, non-transferable, non-sublicensable limited privilege to be a member of the Network and to use the Service”, and Coupa reserves the right to “immediately remove You from the Network and terminate Your use of the Service in its sole discretion upon notice”.[2] See Free supplier access. The terms were last updated on May 17, 2023, and Coupa may change them at any time, with a material change effective 30 days after it is posted.[2]
The Terms also give Coupa a worldwide, perpetual, irrevocable, sublicensable licence to store, reproduce, display and use information the supplier provides, for including the supplier in the Network, improving the service, developing new products and other legitimate business purposes.[2] A supplier’s legal team should read that clause, since it concerns supplier data, not a software licence fee.
Coupa’s documentation also says that when a supplier uses Coupa’s products it agrees to the Open Business Network Terms of Use, the Privacy Policy, the Supplier Code of Conduct and the Cookie Policy, and the Terms can be reviewed during registration, when signing for the first time or when signing an updated version.[10]
Programs
- Free supplier access. Registration, a business profile, orders, e-invoices and other core functions are free.[3][1]
- Paid supplier subscriptions. Verified, Advanced and Premium Support, each optional.[4][3]
- Free trial. Advanced has a 30-day free trial.[9]
- Customer-side rule. A Coupa customer cannot charge suppliers for platform interaction unless its Order Form says otherwise.[7]
What to check
For a Coupa customer:
- Whether the Order Form contains any exception to the rule that suppliers are not charged for interacting through the platform.[7]
- Whether suppliers have been asked to pay for subscriptions as a condition of doing business. The pages reviewed say the portal is free and the subscriptions optional.[4]
For a company that is itself a supplier to Coupa customers:
- The number of Coupa Supplier Portal accounts held across the group, and the subscriptions on each.[3]
- Renewal dates for Verified, with the automatic renewal in mind.[6]
- Administrators and users on each account, and the customers each user can see.[8]
- Whether the business is relying on Advanced features such as SSO or the REST API that disappear if the subscription lapses.[9]
Out of scope
The article does not cover Coupa Pay, early payment services or Coupa Advantage programme conditions. It does not cover the content of supplier contracts with individual customers.
